Job Description

At Maid-Rite Specialty Foods, we are looking for a dedicated HR & Payroll Administrative Assistant to join our team. This entry-level role acts as a vital foundational liaison between HR and our workforce, ensuring smooth communication and strong operational efficiency. You will assist with day-to-day HR administration, track attendance and leaves of absence, provide critical data support for payroll processing, and deliver prompt, helpful resolutions to basic employee requests regarding company policies, payroll, and benefits.
Key Responsibilities HR & Department Operations Support Daily Administration:
Assist with the day-to-day operations of the HR function, acting as an accessible point of contact for daily employee questions regarding human resources issues, company rules, and benefits.
Employee Records:
Compile, update, and maintain comprehensive hard and soft copies of confidential employee files, processing personnel documentation with a high level of discretion.
Support:
Help coordinate new hire onboarding logistics, data entry for status updates, employee terminations, and open enrollment tracking.
Absence & Attendance Coordination Leave Tracking:
Assist with scheduling, coding, and tracking data for Leaves of Absence (LOA) and FMLA documentation.
Attendance Tracking:
Monitor, track, and generate routine reports on employee absenteeism to ensure accurate payroll coding and data integrity.
Documentation Maintenance:
Organize and maintain critical unemployment documentation and files.
Payroll & Benefits Assistance Payroll Preparation:
Support full-cycle payroll processing by inputting, tracking, and verifying relevant data regarding employee hours, absences, and deductions.
Data Verification:
Help reconcile basic payroll and benefits records to ensure routine data accuracy.
Reporting:
Assist in drafting routine reports, statements, and summaries relating to staffing, performance, leave requests, and payroll metrics for management. Required Qualifications & Skills 1-2 years of HR experience, or proven experience as an administrative or staff assistant. Prior experience working within a manufacturing industry environment is highly preferred. High School Diploma required; an HR-related degree or certification is a plus. Proficient in MS Office Suite (specifically Excel, Word, and Outlook). Willingness and ability to quickly learn payroll software and HRIS platforms. Foundational understanding of or high interest in labor laws, payroll compliance, and leave tracking guidelines. Exceptional attention to detail, robust organizational skills, and excellent communication abilities to effectively support employee inquiries. Preferred Qualifications Exposure to or working knowledge of ADP Workforce Now . Bilingual abilities in Spanish are a major plus.
