Accounting Assistant/HR Administrator - Full job description Overview We are seeking an experienced and detail-oriented Accounting Assistant to work closely with the Controller and Assistant Controller in managing the financial operations of our organization. This position will also be responsible for administering our employee benefit programs and related employee records. The ideal candidate will have practical experience with accounting principles, bookkeeping, payroll tax compliance and benefit plan administration. Proficiency with QuickBooks or equivalent accounting software, as well as Microsoft Excel and Word, is preferred. Duties Prepare customer invoices and supporting documentation daily. Track employee vacation, medical insurance and 401(k) deferrals. Maintain employee safety training records. Monitor independent contractor agreements and insurance requirements. Assist with accounts payable and customer job setup. Utilize QuickBooks or equivalent accounting software for accurate data entry, recordkeeping, and financial administration. Assist with monthly and quarterly payroll tax reporting and related compliance activities. Assist with employee benefit administration, including enrollment, deductions, records, and coordination with benefit providers as needed. Provide backup support for weekly payroll processing and time sheet entry. Assist with other accounting and administrative tasks as needed. Qualifications Bachelor's degree in accounting, finance, business, human resources or a related field preferred; equivalent relevant education and experience will be considered. Minimum five years of combined experience in accounting, bookkeeping, payroll, human resources, or related administrative roles. Proficiency with Microsoft Office, particularly Excel and Word. Practical experience with accounting software such as QuickBooks or equivalent platforms. Experience with payroll reporting and multi-state payroll processes preferred. Experience in manufacturing, construction, distribution, or other job-based business environments is helpful but not required. Strong understanding of double entry bookkeeping principles including debits & credits. Strong attention to detail, organizational skills, and the ability to maintain accurate records. Effective written and verbal communication skills, with the ability to work collaboratively with employees, management, and third-party providers. Ability to manage multiple responsibilities, prioritize tasks, and maintain confidentiality. This position plays an important role in supporting the company's accounting and administrative operations, maintaining accurate financial and employee records, and helping ensure that payroll and employee benefit processes are handled efficiently and accurately.
