Medica In-Home Care is seeking a Home Care Staffing Assistant to support our growing in-home care division. This role is primarily responsible for coordinating caregiver onboarding and helping ensure caregivers complete all required steps to become assignment-ready. The Home Care Staffing Assistant will also support the Home Care Coordinators with caregiver scheduling, coverage, communication, and day-to-day staffing needs. This role is ideal for someone who is highly organized, detail-oriented, responsive, and comfortable managing multiple onboarding files and staffing priorities in a fast-paced home care environment.Responsibilities:
Coordinate caregiver onboarding from hire through clearance and readiness for assignment. Collect, track, and follow up on required caregiver documentation, credentials, screenings, and onboarding requirements. Maintain consistent communication with caregivers regarding outstanding items, appointments, and next steps. Monitor onboarding progress and proactively follow up to help prevent delays. Maintain accurate caregiver records, onboarding statuses, and documentation within internal systems. Coordinate with internal teams and vendors regarding background checks, health screenings, compliance requirements, and other onboarding needs. Assist Home Care Coordinators with caregiver scheduling and schedule updates. Support call-offs, shift changes, open shifts, and coverage needs as directed. Communicate with caregivers regarding availability, schedules, assignments, and staffing updates. Help maintain a ready and available pool of caregivers to support ongoing coverage needs. Assist with caregiver outreach, candidate follow-up, and staffing needs as assigned. Build positive, professional relationships with caregivers throughout the onboarding and assignment process. Provide administrative and operational support to the Home Care Coordinators and In-Home Care Supervisor. Escalate caregiver, onboarding, compliance, or scheduling concerns to the appropriate team member.Qualifications:
1+ year of experience in onboarding, staffing, scheduling, administrative support, or a related role preferred. Home care, healthcare staffing, or healthcare experience highly preferred. Experience with caregiver or employee onboarding and compliance documentation strongly preferred. Familiarity with AxisCare or similar home care scheduling software is a plus. Bilingual Spanish required. Strong organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple caregivers, deadlines, and priorities simultaneously. Proactive follow-up skills and a strong sense of urgency. Comfortable using Microsoft Office and learning new systems. Ability to work collaboratively and provide support across a fast-paced team environment.Job Type:
