paid time off, sick leave, employee discount About Summerfield Tea Bar Summerfield Tea Bar is a growing Southern California tea and boba company operating six locations: Garden Grove, Rowland Heights, Santa Ana, La Habra, Rosemead, and a new store opening in the City of Industry. We build our drinks around quality ingredients, tested recipes, and consistency across every store. We are a small, fast-moving team. As we have grown, our administrative work has grown with us and is currently spread across store managers, department leads, and executives. This role exists to bring all of it under one owner. About the Role We are hiring an Administrative & HR Manager to own the administrative backbone of the company. You will be the single point of accountability for hiring and onboarding, employee records, timekeeping and payroll preparation, California labor compliance, training tracking, vendor and subscription administration, and monthly reporting to leadership. This is a build role as much as a maintenance role. Much of what you will own currently lives in email threads and individual managers' heads. You will be the person who turns it into systems that run without being chased. If you like closing loops, keeping clean records, and being the person everyone can rely on to know the answer, this role will suit you. If you want a job where paperwork is somebody else's problem, it will not. What You'll Do Hiring & Onboarding Post roles, screen applicants, schedule interviews, and coordinate trial shifts with Store Managers.
Run the full onboarding process:
issue and collect the new hire package, verify W-4, I-9, direct deposit, and handbook acknowledgment before the first paid shift. Set up system access on day one across Connecteam, Square, and store-level logins. Track time-to-hire and keep critical roles from sitting open. Employee Records & Compliance Maintain accurate, confidential employee files and a master roster for all six locations.
Own California labor compliance:
required postings, meal and rest breaks, paid sick leave accrual, I-9 records, and food handler certifications. Handle Cal/OSHA injury reporting, the injury log, and workers' compensation claims. Keep the employee handbook current as California law changes. Timekeeping & Payroll Support Review weekly timesheets across all time clock groups and reconcile against activity reports. Resolve missed punches, unapproved overtime, and break exceptions before the pay period closes. Prepare and submit clean hours to payroll, and process expense reimbursements. Training & Performance Track training module completion by employee and store, and follow up on anything overdue. Maintain the review calendar and prompt managers ahead of every 90-day and annual review. Document corrective action consistently, and serve as first point of contact for employee questions and concerns. Vendor & Subscription Administration Maintain the vendor registry and contract renewal calendar, and flag anything expiring within 60 days. Track software subscriptions against actual seat usage and recommend cancellations or downgrades. Route invoices and change orders to the correct approver and confirm they close out. Reporting Keep the Admin/HR monthly tracker current throughout the month. Produce the monthly report to leadership covering costs, vendor health, subscription utilization, hiring pipeline, and recommendations. Flag decisions that need executive attention early and in writing. What We're Looking For Required Two or more years in an HR, office management, or administrative role, ideally in restaurant, retail, or another multi-location business. Working knowledge of California labor law meal and rest breaks, paid sick leave, final pay timing, and required postings. Experience preparing or supporting payroll. Strong organizational skills and genuine attention to detail. This role has real deadlines with legal consequences. Comfortable with Google Workspace and able to pick up new systems quickly. Clear written and verbal communication, and the confidence to follow up with managers and executives until something is actually done. Sound judgment with confidential information. Preferred Experience with payroll, Toast, Asana, or similar platforms. Background supporting hourly, multi-site teams. Vendor or contract administration experience. Bilingual English/Vietnamese or English/Spanish. PHR, SHRM-CP, or equivalent certification. Summerfield Tea Bar is an equal opportunity employer.
