Job Description
A newly branded, established luxury-facing company is seeking a polished and highly organized HR / Administrative Assistant to provide broad administrative, recruiting, and operational support to a small, fast-moving team. This is a full-time or part-time, year-round position, with a schedule consisting of Monday-Friday, with occasional flexibility as needed. This is predominantly a remote role, though candidates should be based in New York City Metro Area or Eastern Long Island and available for occasional in-person meetings, projects, or events as needed. The ideal candidate is proactive, detail-oriented, and comfortable working across a variety of administrative functions. This role is well suited to someone who enjoys keeping things organized behind the scenes, communicating professionally with candidates and outside contacts, and helping a growing team stay efficient and responsive. Responsibilities Provide day-to-day administrative support to company leadership and team members Assist with candidate and applicant communication, scheduling, and interview coordination Support recruiting and HR-related administrative tasks, including maintaining candidate records and internal documentation Manage calendars, meetings, follow-ups, and general correspondence Assist with drafting and formatting documents, job postings, presentations, and internal materials Maintain organized digital files, databases, and shared records Support onboarding paperwork and other employee or contractor-related administrative needs Assist with research, data entry, and special projects as required Help coordinate meetings, events, travel, and in-person initiatives Serve as a polished and professional point of contact when communicating with candidates, clients, vendors, and other external partners Anticipate administrative needs and help ensure outstanding items are followed through to completion Requirements Prior administrative, recruiting, HR, executive support, or office experience preferred Strong organizational skills and exceptional attention to detail Excellent written and verbal communication skills Professional, polished, and comfortable communicating with a discerning clientele and candidate base Ability to manage multiple priorities and work independently in a primarily remote environment Strong follow-through and a proactive, solutions-oriented approach Comfortable handling confidential and sensitive information with discretion Proficiency with Google Workspace and/or Microsoft Office Comfortable learning new software, databases, and digital tools Familiarity with applicant tracking systems, CRM platforms, or HR software is a plus Must be based in New York City, the Hamptons, or Palm Beach Flexibility to attend occasional in-person meetings or projects as needed This is a flexible, predominantly remote opportunity with the potential to grow in scope for the right person. The successful candidate will be resourceful, discreet, personable, and highly dependable, with an instinct for keeping people, information, and priorities organized in a fast-moving environment. This is a role that will offer tremendous growth for the right individual and will begin at $30-$35 per hour, DOE, and employer-sponsored health insurance is available to full-time eligible employees following completion of a 90-day waiting period.
