Summary/Objective The HR Coordinator is responsible for providing hands-on support across Human Resources, Talent Acquisition, onboarding, employee training, and day-to-day HR operations. The Coordinator will support the employee lifecycle from candidate sourcing and interview coordination through new hire onboarding, training follow-up, employee communications, and ongoing HR administration. The Coordinator will work closely with the HR Operations & Talent Manager, hiring managers, employees, candidates, and leadership to ensure HR processes are organized, timely, consistent, and aligned with Benefit Harbor's business needs. The employee will be employed by Workwell as the Employer of Record and assigned to provide services at Benefit Harbor. While on assignment, the HR Coordinator will work under the day-to-day direction and priorities established by Benefit Harbor. Essential Duties and Responsibilities include, but are not limited to: Talent Acquisition & Recruiting Source candidates for a variety of open positions using LinkedIn, job boards, referrals, professional networks, and other recruiting resources. Assist with posting and maintaining job opportunities across recruiting platforms. Review resumes and applications and assist with identifying qualified candidates. Conduct candidate outreach and communicate with candidates throughout the recruiting process. Schedule and coordinate phone screens, virtual interviews, onsite interviews, and hiring manager meetings. Coordinate interview calendars between candidates, recruiters, hiring managers, and leadership. Send interview confirmations, reminders, follow-ups, and next-step communications. Maintain accurate candidate information and recruiting activity in the applicable
HRIS/ATS.
Assist with candidate tracking and recruiting reports. Support background checks, employment verifications, reference checks, and other pre-employment requirements as applicable. Assist with offer and pre-employment processes. Help ensure candidates receive professional and positive experience throughout the recruitment process. New Hire Onboarding Coordinate new hire onboarding activities from offer acceptance through the employee's first day. Prepare and distribute onboarding materials, forms, and required documentation. Coordinate new hire orientation and assist with orientation presentations and materials. Coordinate onboarding schedules with managers and department leaders. Ensure new hires receive information regarding company policies, HRIS, benefits, required training, security, and other onboarding requirements. Assist with setting up new hire meetings, introductions, and onboarding activities. Follow up with new hires and managers to ensure onboarding requirements are completed. Maintain accurate onboarding records and documentation. Assist with creating a positive and organized new hire experience. Training & LMS Support Monitor required employee training assignments and completion. Follow up with employees regarding outstanding or overdue training. Send training reminders and communicate deadlines. Assist with administering the company's LMS and tracking employee completion. Maintain training completion records and reports. Assist with required HR, compliance, security, SOC 2, and other company training initiatives. Coordinate training assignments for new hires and existing employees. Escalate outstanding or recurring training issues to the HR Operations & Talent Manager as appropriate. HR Operations Support Provide day-to-day administrative support to the HR Operations & Talent Manager. Assist with employee questions and routine HR requests. Maintain accurate and confidential employee records. Assist with HRIS data entry and employee record updates. Support employee lifecycle transactions, including new hires, transfers, promotions, changes, and separations. Assist with employee check-ins and employee experience initiatives. Coordinate HR meetings, employee communications, and internal HR activities. Assist with maintaining HR policies, forms, procedures, and documentation. Prepare HR reports, spreadsheets, trackers, and presentations. Assist with HR audits and compliance-related activities. Help ensure HR processes and administrative tasks are completed accurately and on time. Employee Experience & HR Coordination Serve as a responsive point of contact for employees regarding routine HR-related needs. Assist with employee engagement activities and internal HR initiatives. Support 30-, 60-, and 90-day employee check-in processes. Assist with employee communications and HR announcements. Coordinate meetings and follow-ups between employees, managers, and HR. Assist with maintaining a positive and consistent employee experience. Help identify administrative or process gaps and recommend opportunities for improvement. Administrative & Project Support Maintain HR calendars, trackers, spreadsheets, and documentation. Assist with special HR projects and organizational initiatives. Support HR-related events, meetings, orientations, and employee activities. Coordinate with internal departments and external vendors as needed. Assist with process improvement initiatives and documentation. Handle confidential information with discretion and professionalism. Perform other HR-related duties and projects as assigned. Compliance & Assignment Support Maintain accurate HR documentation and employee records in accordance with established requirements and processes. Adhere to applicable Benefit Harbor HR, confidentiality, training, compliance, and documentation processes. Workwell will serve as the Employer of Record for the temporary assignment. Perform assigned services at Benefit Harbor under the day-to-day direction and priorities established by Benefit Harbor. Required Qualifications General Knowledge, Experience, Technical, and Problem-Solving Skills 1-3 years of experience in Human Resources, Recruiting, Talent Acquisition, HR Administration, or a related field. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and follow-through. Ability to manage multiple priorities and deadlines. Ability to maintain confidentiality and exercise sound judgment. Professional and service-oriented approach when working with employees and candidates. Proficiency with Microsoft Office, Outlook, Teams, Excel, and other standard business applications. Ability to work independently while also collaborating effectively with the HR team and business leaders.
Communication Proficiency:
Strong written and verbal communication skills with the ability to communicate with employees, candidates, managers, and leadership. Ability to communicate HR processes and expectations clearly and effectively. Strong listening, collaboration, and follow-up skills. Collaboration & Team Focus Ability to work collaboratively with HR, hiring managers, employees, candidates, leadership, and external partners. Ability to manage multiple projects and priorities in a fast-paced, growing environment. Strong work ethic and self-starter mentality with the ability to work independently. Must possess integrity, reliability, responsibility, strong organizational skills, and high attention to detail. Preferred Qualifications Associate's degree in Human resources, Business Administration, or a related field. Experience working with an HRIS and/or Applicant Tracking System. Experience coordinating recruiting and interviews. Experience supporting employee onboarding. Experience administering or tracking LMS training. Experience in a technology, SaaS, benefits administration, or professional services environment. Work Environment The work is typically performed in a normal office environment at Benefit Harbor or in a home office as part of the hybrid work arrangement. Regular onsite presence may be required based on business and team needs. Suggested Schedule This is a temporary full-time assignment. General hours of operation are Monday through Friday from 8 am to 5 pm. Workwell serves as the Employer of Record, while Benefit Harbor provides day-to-day directions for the assignment. Additional hours or schedule adjustments may occasionally be required based on business needs.
