Job Description

Description:
This position reports directly to the People & Workforce Operations Coordinator and serves as a key support role within our Workforce Operations team. The primary focus of this position is to assist with employee scheduling and workforce coordination to help ensure our clients receive consistent, uninterrupted service. The ideal candidate is organized, dependable, detail-oriented, and able to adapt in a fast-paced environment while maintaining excellent communication with employees, supervisors, and clients. Position Schedule Part-time, approximately 2-3 days per week . Hybrid schedule with a combination of remote and in-office work. Flexibility to adjust scheduled days based on operational needs. Occasional on-call availability is required to assist with urgent staffing needs, employee call-offs, and schedule changes. Primary Responsibilities Assist the People & Workforce Operations Coordinator with creating and maintaining employee work schedules. Help coordinate staffing coverage to ensure all client locations are properly staffed. Assist with employee call-offs, PTO requests, shift swaps, and schedule adjustments. Contact employees to fill open shifts and support last-minute staffing needs. Update scheduling systems and maintain accurate scheduling records. Communicate schedule updates and staffing information to employees and supervisors. Prepare and distribute employee schedules and client staffing rosters. Assist with reviewing employee timecards and identifying timekeeping discrepancies. Support payroll preparation by verifying time entries and labor codes. Maintain workforce spreadsheets, reports, and scheduling documentation. Assist with onboarding coordination by scheduling orientations and training sessions. Provide general administrative support to the Workforce Operations team. Perform additional duties as assigned by the People & Workforce Operations Coordinator or Operations Manager.
Requirements:
Qualifications Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to multitask and prioritize in a fast-paced environment. Proficiency in Microsoft Office and/or Google Workspace, particularly Excel or Google Sheets. Ability to work independently while maintaining accuracy and confidentiality. Dependable, professional, and team-oriented. Previous experience in scheduling, workforce coordination, dispatching, administrative support, customer service, or operations is preferred but not required. Experience with timekeeping systems, payroll support, or SafetyCulture is a plus.
