Job Description

Training Coordinator and Onboarding Job Description Position Overview:

This individual will be critical to ensure meeting the timely requirements of onboarding. Additionally, providing assistance and/or leading: orientation, system set up, system troubleshooting, tracking candidate training, new hire schedule management for meeting payroll requirements, collaborating with HR, Payroll and Recruiting Manager while maintaining warm, friendly and respectable contact with new hires throughout the onboarding and training evolution until handed off to the Care Coordination team for overlap/shadow shift scheduling.

Recruiting Manager Key Responsibilities:
IT & Account Setup:

Coordinate with appropriate IT specialists regarding the creation and setup of new hire Outlook/email accounts. o Troubleshoots account access issues with new hires and coordinate with the appropriate team when additional IT support is needed. o Ensure new hires have the necessary system access to successfully complete orientation, training and use of the Central Reach operating system.

Orientation:

o Responsible for outreach to incoming clinical staff to coordinate orientation meeting links and times. o Conduct new hire orientation presentation, provide an overview of company processes, expectations, systems, and answer any questions that incoming clinical staff have. o Ensure orientation presentation slide deck is always up to date. o Schedule individual calls with new hires when troubleshooting, clarification, or additional support is needed.

Training Coordination and Tracking:

o Set up each new hire Behavior Technician (BT) with a Central Reach Institute (CRI) account. o Track the progress of each BT within CRI and send daily reminders to them detailing their progress towards completion.

Schedule Management:

o Utilize CRI to determine hours worked for each candidate that are being tracking. o Enter hours worked into Central Reach (CR) every day and convert that session to ensure candidate's hours are logged.

▪ This will ensure that payroll is able to provide payments on time for these team members on payday, which occurs every week.

Communication and Coordination:

o Communicate to appropriate Care Coordinator by Monday afternoon, which BTs are complete with the 40-hour CRI training from the previous week.

▪ Care Coordination will assign these individuals to overlap/shadow sessions. o Send CRI completion certificate to the credentialing department. o Communicate with Payroll any discrepancies from the previous week that arise prior to noon on Tuesday to ensure accurate and on time payments to candidates.

Candidate Management:

o Stay in constant contact with new hires to troubleshoot any system barriers to CRI progression and gain an understanding of any barriers to CRI completion not related to any system. o Ensure that any candidate that does not complete training within two weeks of their start date is sent to Human Resources (HR).

▪ HR will issue an email to the candidate providing them with a deadline to complete training or risk being terminated from the organization. o If candidate does not complete training per HRs final written warning, then work with Recruiting Manager to meet with candidate after getting approval from HR to terminate the employee in the Central Reach system.

Ongoing Support and Communication:

o Provide general support for new team members, answering questions and ensuring a positive onboarding and training experience. o Using a welcoming tone, ensure timely verbal and written communications. o Ensure all relevant information is updated in the system and communicated to the appropriate team members.

Other Duties:

o May include specific onboarding responsibilities. o Assist with other tasks as needed to support the clinical and operations team. o Ensure timely and accurate updates to the training system for tracking purposes. Qualifications:
Education:

o High school diploma or equivalent required; Associate degree or higher preferred. A background in healthcare administration, social services, or a related field is a plus.

Skills:

o Strong organizational and time-management skills with attention to detail. o Excellent written and verbal communication skills. o Ability to handle multiple tasks and prioritize effectively. o Proficiency with office software (e.g., Microsoft Office Suite) and experience with Electronic Health Records (EHR) systems. o Knowledge of ABA therapy and related services is a plus. o Ability to work collaboratively across teams and maintain a positive working relationship with clients, staff, and other departments. o Attention to detail and ability to ensure the accuracy of client and employee information. o Previous experience in customer service, training, onboarding, or scheduling is preferred but not required.

Physical Requirements:

Ability to sit for extended periods of time while working at a desk or computer. Occasional need to lift or move office materials (up to 25 lbs.).

Pay:

$20.00 - $24.00 per hour Expected hours: 40.0 per week
