Position Summary The HR Administrator / Accounts Payable is a full-time, non-exempt position responsible for supporting the effective management of the organization's administrative, human resources, financial, and other non-patient-related business processes. This is a multifaceted position that requires excellent organization, attention to detail, discretion, flexibility, and the ability to manage multiple priorities. Responsibilities include accounts payable, bookkeeping support, recordkeeping, payroll processing, benefits administration, retirement account coordination, employee onboarding and HR administration, office supplies, mail processing, facilities coordination, staff appreciation, employee events, and general administrative support. The HR Administrator / Accounts Payable will also serve as an administrative support resource to the Practice Manager for Human Resources-related activities. The main office is located in Greenville, SC, with additional clinic locations in Simpsonville and Mauldin, SC. This position requires regular travel between clinic locations as needed to support administrative and operational needs. The position generally operates Monday through Friday. Occasional after-hours, evening, or weekend work may be requested, particularly for employee meetings, training, company events, staff/family celebrations, or other business needs. After-hours responsibilities may occasionally be completed in person or electronically. Essential Responsibilities Perform daily download of bank deposits as a backup process. Perform daily reconciliation of bank accounts and QuickBooks. Reconcile bank deposits sent via courier for deposit into the bank. Reconcile bank deposits with EClinicalWorks records. Assist with monthly reconciliation of EClinicalWorks, bank accounts, and QuickBooks in coordination with the bookkeeper. Process accounts payable accurately and in a timely manner. Review invoices and supporting documentation for accuracy and proper classification. Reconcile credit card transactions with corresponding bills and ensure correct classification in QuickBooks. Ensure timely payment of credit card bills. Assist with bonus calculations periodically and annually. Enter checks into the appropriate spreadsheet and provide information to the Billing Department for posting. Maintain organized financial and administrative records. Communicate with vendors and internal departments regarding invoices, payments, and discrepancies. Provide bookkeeping and accounting support as needed. Supervise and review employee timecards on a daily basis. Screen timecards for accuracy, completeness, and compliance with established procedures. Communicate with department managers regarding overtime within their departments. Review and coordinate PTO requests according to established procedures. Process biweekly payroll. Review payroll for accuracy prior to submission. Assist with resolving payroll discrepancies or employee questions. Maintain appropriate payroll and timekeeping documentation. Coordinate retirement plan file uploads within five business days of payroll, as applicable to the organization's retirement plan provider. Assist the Practice Manager with the hiring and selection process for new employees. Assist with all aspects of new employee onboarding, including completion and organization of required paperwork. Maintain accurate and confidential employee records. Assist with employee recordkeeping and documentation as required. Coordinate periodic employee performance reviews according to the procedures established in the Employee Handbook. Assist the Practice Manager with employee communications and HR-related administrative matters. Maintain confidentiality of employee, payroll, benefits, and other sensitive information. Assist with implementation and administration of company policies and procedures. Assist with employee offboarding and related documentation as needed. Provide administrative support to the Practice Manager and leadership on HR-related projects. Process monthly health benefit premium payments. Coordinate annual or periodic meetings between staff and benefits representatives. Schedule yearly benefits meetings for employees. Provide benefit information and resources to employees during the onboarding process. Assist employees with general benefits-related questions and direct more complex questions to the appropriate benefits representative. Maintain benefits-related records and documentation. Assist with retirement plan administration and required uploads. Open, sort, and distribute incoming mail. Process outgoing mail as needed. Monitor office supplies and inspect inventory periodically. Purchase and distribute necessary office and facility supplies. Help ensure all clinic locations have the necessary supplies for general upkeep. Assist with maintaining a clean, organized, and professional office environment. Communicate facility or maintenance concerns to the appropriate person or vendor. Travel between clinic locations to inspect administrative needs and provide support. Assist with other general office and facilities responsibilities as assigned. Purchase and distribute employee gift cards as authorized. Coordinate impromptu employee appreciation events as requested by the Practice Manager or Medical Director. Assist with planning and coordinating employee recognition activities. Organize, plan, and execute preparation for annual employee/family events. Arrange and assist with the coordination of the annual All Staff Meeting. Assist with staff celebrations, appreciation events, and other company activities. Be available to assist with occasional evening or weekend events when required. Serve as an administrative assistant to the Practice Manager as needed. Assist with special projects and organizational initiatives. Coordinate meetings and other administrative activities. Maintain accurate spreadsheets, files, and records. Communicate effectively with employees, managers, vendors, leadership, and other parties. Provide administrative assistance across clinic locations as needed. Identify administrative issues and communicate them to the appropriate manager. Perform other duties and responsibilities as assigned. Multi-Clinic Travel Requirement Because this is a multi-location position, the HR Administrator / Accounts Payable must be willing and able to travel between the organization's clinics. The primary office is located in Greenville, SC, with additional clinics located in: Simpsonville, SC Mauldin, SC Travel between these locations will be required based on operational needs, meetings, employee needs, administrative responsibilities, inspections, events, and other assignments. Reliable transportation and a valid driver's license are required. Schedule & Availability This is a full-time, non-exempt position generally scheduled Monday through Friday. Due to the multifaceted nature of the position, the employee must have flexibility to occasionally work: Evenings Weekends Annual employee/family events Staff meetings and celebrations Trainings or other company events Other after-hours business needs Some after-hours responsibilities may be performed electronically rather than in person, depending on the nature of the task. Whenever possible, advance notice will be provided for scheduled events and weekend responsibilities. Qualifications High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred. Previous experience in HR administration, accounts payable, bookkeeping, payroll, office administration, or a related field preferred. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to handle confidential employee, payroll, financial, and business information with discretion. Strong written and verbal communication skills. Proficiency with Google Sheets. Experience with QuickBooks required. Experience with payroll processing and timekeeping systems required. Experience with EClinicalWorks or another healthcare practice management system is a plus. Ability to work independently while also collaborating with managers and clinic staff. Ability to prioritize and manage multiple responsibilities simultaneously. Strong problem-solving and follow-through skills. Professional, dependable, flexible, and service-oriented. Ability to travel between the Greenville, Simpsonville, and Mauldin clinic locations. Valid driver's license and reliable transportation required. Willingness to work occasional evenings and weekends for business needs and company events. Physical & Work Requirements The position requires the ability to work in an office/clinic environment and travel between locations. The employee may be required to sit, stand, walk between departments, use a computer for extended periods, handle paperwork and office supplies, and assist with event setup and organization as needed.
