Provides clerical and administrative support to Technology and Security. Ensures smooth office operations by managing schedules, coordinating meetings, and preparing and organizing documents and presentations. Additionally, assists with departmental communications, onboarding and offboarding activities, vendor administration, travel coordination, procurement, invoicing, and other operational support activities. Handles confidential and sensitive information with appropriate discretion.
Essential Job Tasks:
Provides general administrative support to Technology & Security, including scheduling meetings, managing calendars, preparing reports, agendas and meeting materials, taking minutes, handling correspondence, tracking action items and follow-up activities, and completing expense reports. Maintains staffing documents, floor maps, organizational charts, distribution lists, departmental calendars, internal web pages, SharePoint sites, Teams resources, contact lists, and other organizational and collaboration records. Assists with employee and contractor onboarding, transfers, and offboarding activities, including coordination of workspace, equipment, access requests, and related communications. Supports procurement and vendor administration activities, including purchase requisitions, purchase orders, invoice tracking and processing, contractor blanket agreements, renewals, and associated related documentation. Organizes and coordinates Technology & Security events, all-hands meetings, training sessions, leadership meetings, and other departmental activities, including logistics, materials, and attendee communication, registrations, and travel arrangements as needed. Identifies opportunities to improve administrative processes, templates, tracking tools, and departmental organization.
Position Requirements:
High School Diploma or GED + 5 years experience. Must have excellent verbal and written communication skills. Must have strong organizational skills and the ability to manage multiple priorities, deadlines, calendars, and competing requests. Must be proficient with Microsoft 365 applications, including outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
