A Human Resources Assistant provides administrative support in the human resources department of a company or organization. Manages employee records, advertises job postings, and organizes materials required from job applicants.
The Human Resources Assistant provides administrative and operational support to the Human Resources Department and assists with the day-to-day HR functions of the facility. This position supports recruiting, onboarding, employee records, payroll and timekeeping, benefits administration, training, employee activities, and general HR compliance. The Human Resources Assistant serves as a resource to employees while maintaining professionalism, confidentiality, and accurate HR documentation.
ESSENTIAL DUTIES AND RESPONSABILITIES INCLUDE THE FOLLOWING
Provide administrative support to the Human Resources Manager and HR Department. Assist with recruiting activities, including posting open positions, reviewing applications, scheduling interviews, communicating with candidates, and maintaining recruiting records. Coordinate and assist with new hire onboarding and orientation, including preparation and collection of required employment documents and new hire materials. Maintain accurate and confidential employee personnel files and HR records, both electronic and physical. Organize, file, and audit personnel files to ensure documents are complete, current, accurate, and properly maintained. Assist with the completion, maintenance, filing, and periodic auditing of all employee documentation. Maintain proper separation and confidentiality of personnel, medical, I-9, payroll, benefits, disciplinary, and other sensitive employee records. At the beginning of each calendar year, organize, archive, and file payroll records from the previous year in accordance with established recordkeeping procedures. Maintain and organize employment applications, resumes, interview documentation, and other recruiting records according to established filing and record-retention procedures. Enter and update employee information in HRIS, payroll, timekeeping, ADP, SAP SuccessFactors, and other applicable systems. Assist with employee status changes, including new hires, transfers, promotions, pay changes, terminations, and other personnel actions. Review employee timekeeping records and assist with identifying and correcting missing punches, attendance discrepancies, and other payroll-related issues. Assist with payroll preparation, verification, documentation, and filing to help ensure employee information, hours, and changes are accurately processed. Maintain and track attendance, vacation, sick leave, and other employee records as assigned. Assist employees with general questions regarding payroll, benefits, attendance, policies, procedures, and HR programs, referring to complex matters to the Human Resources Manager. Participate in employee benefits enrollment and annual Open Enrollment, including distributing information, assisting employees with the enrollment process, collecting required documentation, and following up on outstanding items. Assist with qualifying life events, general benefits questions, and benefit-related documentation. Assist with employee training coordination and maintain accurate training records, sign-in sheets, certificates, and other training documentation. Support HR documentation and recordkeeping requirements related to ISO and company compliance programs. Assist with HR audits by organizing, reviewing, and providing requested employee records and documentation. Assist with unemployment claims, employment verifications, HR letters, notices, reports, spreadsheets, presentations, and other correspondence as assigned. Support employee engagement activities, recognition programs, company events, meetings, and employee communications. Maintain HR bulletin boards and assist with distributing company notices, policies, and employee communications. Provide Spanish/English interpretation and assist with translation of employee communications and documents as needed. Support the Human Resources Manager with special projects, reporting, workforce initiatives, and other HR activities. Provide administrative support to the Environmental Health & Safety (EHS) Department as needed, including documentation, filing, data entry, training records, employee communications, and other EHS-related administrative activities. Follow all company policies, safety requirements, and applicable procedures. Perform other duties as assigned by management.
EXPERIENCE AND REQUIREMENTS
High school diploma or equivalent, or a combination of relevant administrative, Human Resources, payroll, or accounting experience. Previous experience in Human Resources, administrative support, payroll, or accounting, preferred. Experience working in a manufacturing or industrial environment preferred. Basic knowledge of Human Resources practices, employee records, and employment-related documentation. Experience with HRIS, payroll, and timekeeping systems preferred. Knowledge or experience with ADP, SAP, and SuccessFactors is a plus. Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Strong computer and data-entry skills with a high level of accuracy. Ability to work with payroll, employee data, reports, reconciliations, and basic accounting-related information. Strong organizational and time-management skills with the ability to manage multiple priorities. Strong attention to detail and ability to maintain accurate records. Ability to handle confidential and sensitive information with discretion. Excellent interpersonal and customer service skills with the ability to communicate professionally with employees at all levels. Strong verbal and written communication skills. Bilingual English/Spanish required. Ability to work independently and effectively as part of a team. Strong problem-solving skills and ability to recognize when matters should be escalated to the Human Resources Manager. Dependable, professional, approachable, and able to work effectively in a fast-paced environment.
WORKING CONDITIONS
Ability to work in an office environment (cubicle) within a manufacturing facility with frequent interaction with employees and management. May require periodic presence on the production floor, including exposure to noise, heat, machinery, and other manufacturing conditions. Requires frequent use of a computer, telephone, and standard office equipment. Requires some periods of sitting, computer work, and data entry, with occasional standing and walking throughout the facility. May require lifting and carrying up to 25 pounds occasionally, including files, office supplies, or materials. Full-time position, generally Monday through Friday, 8am to 5pm with flexibility to support payroll deadlines, employee needs, meetings, special events, enrollment activities, training, staffing needs, or other operational requirements. Must have the flexibility to work weekends, holidays, and outside normal business hours when needed. Must be able to work in a fast-paced environment, manage changing priorities, and maintain confidentiality when handling sensitive employee and company information.

$26.00 - $30.00 per hour
