This role provides essential administrative support to HR team members, assists with employee records, recruitment coordination, and general office functions in a fast-paced environment serving our railroad and construction operations. The ideal candidate is bilingual (English/Spanish), highly organized, and has prior experience in an administrative or HR support role. This position plays a key part in maintaining efficient HR processes for our growing organization. Key Responsibilities Provide administrative support to the HR department, including scheduling meetings, preparing correspondence, and maintaining accurate employee files and records. Assist with recruitment and onboarding processes, such as posting job openings, coordinating interviews, preparing new hire documentation, and conducting basic orientation. Handle routine HR inquiries from employees and managers regarding policies, benefits, and procedures. Manage office supplies, HR-related documentation, scanning, filing, and data entry into HR systems. Support compliance efforts by helping prepare reports, tracking training completions, and maintaining confidential personnel information. Coordinate departmental events, travel arrangements, and meetings as needed. Perform other administrative duties as assigned to support overall HR operations.
Qualifications and Requirements Experience:
Minimum 2+ years of administrative assistant experience, preferably in a Human Resources department or related field.
Education:
High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
Language Skills:
Must be fully bilingual in English and Spanish (spoken and written).
Skills:
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational and multitasking abilities. Excellent verbal and written communication skills. High level of confidentiality and professionalism.
Physical and Environmental Requirements:
Ability to sit for extended periods, use standard office equipment, and occasionally lift up to 25 pounds. Primarily office-based work environment with standard lighting, temperature, and noise levels. Occasional need to visit job sites or other company locations.
