QUALIFICATIONS
High school diploma or GED equivalent; Associate degree preferred.
1-2 years of experience in HR, payroll, accounting, or banking environment, preferably within a public education setting.
1-2 years of experience in HR background screening, or fingerprint/identification processing.
Proficient with Texas DPS, applicant tracking systems (ATS), and all HR database management systems.
Minimum 1 year's experience with HR Information System (HRIS) and/or a finance system preferred; eFinance Plus Financial software experience a plus.
Working knowledge of HR transactions and employment processes.
Strong attention to detail and accuracy in data entry.
Proficiency in Microsoft Office Suite (Word, Excel, databases), Google Docs, and Adobe Pro DC.
Strong organizational and time management skills, with the ability to meet deadlines in a high-volume environment.
Ability to maintain strict confidentiality of sensitive employee information.
Ability to perform a variety of tasks and change assignments on short notice, with little to no direction.

Salary Range (based on experience) as set by the Board of Trustees for the school year.
ESSENTIAL FUNCTIONS
Serves as the subject matter expert related to HR data transactions for 3,000+ temporary workers and substitutes.
Process all position and pay changes for the district's temporary workers and substitutes; new hires, transfers, reclassifications, position changes, pay rate changes, terminations, and retirements in the HR/Payroll systems accurately and on time.
Collaborate with cross-functional teams to verify that all data entries are timely and accurate for personnel changes before finalizing changes.
Verify all data entries for accuracy against supporting documentation prior to finalizing changes.
Coordinate with the Payroll department to ensure personnel paperwork is completed and submitted promptly, and discrepancies are resolved.
Coordinate and oversee communication related to the temporary hiring process. Serve as the designated point of contact for hiring managers, candidates, and internal staff
Reviews and verifies Teacher Retirement System (TRS) status, for eligible substitute and temporary workers
Create and maintain accurate employee records and personnel files, ensuring all required documentation is present and current. Applies established policies, procedures, and guidelines to accurately process all data and all information relevant to payroll processing for employee position changes while maintaining confidentiality.
Oversee the background and fingerprinting process for all substitutes and temporary workers in accordance with DPS, TEA, and district policies.
Manage I-9 verification for substitutes and temporary workers, also serving as a point of reference for HR staff on I-9 issues.
Involved in the end-to-end hiring process, from screening to onboarding for substitutes, ensuring compliance with district policies and a smooth experience for candidates and departments.
Manage the onboarding process for substitutes and temporary workers, including new hire onboarding forms and substitute orientation for completion.
Receive and initiate the work?ow process for new hire recommendations for substitutes and temporary workers.
Prepare and run reports as needed.
Performs other duties as assigned
Perform other duties as assigned by the director/assistant director of the Substitute Office.
