Supporting teams across our Americas offices, you will play a key role in delivering a reliable, professional, and comprehensive HR support service, acting as the first point of contact for HR queries in the US. You will work closely with all members of the HR team, reporting directly to the Senior Manager, Human Resources, in a busy and varied role that offers a fantastic opportunity to expand your HR knowledge. Based 5 days a week in our Houston Office, you will be responsible for creating HR documentation and maintaining systems and processes, while contributing to an exceptional employee experience across the business. You will have outstanding attention to detail, excellent organizational skills, and the ability to confidently manage a high volume of data with accuracy and discretion. Employee lifecycle administration Prepare new starter offer and onboarding documentation, working closely with the recruitment team to ensure a smooth and effective onboarding experience. Coordinate onboarding sessions with line managers and relevant facilitators. Conduct full background screening checks for new starters and provide references for former employees. Execute the onboarding and offboarding processes including delivering company inductions to new starters. Maintain accurate employee records and issue documents including contracts, contract variations, any employment related letters, and compliant immigration/work authorization evidence in line with payroll deadlines and statutory obligations. Administer data within the HRIS, ensuring data integrity and timely updates related to compensation, job changes, reporting lines, work locations, and employment status. Internally communicate employee changes to relevant departments - in occasions of starters/leaver/periods of leave. Performance management Support with the administration of the company's annual appraisal process. HR generalist and leave administration Review attendance records for payroll. Create, maintain, and update all HR related documentation, data, using company HR systems and processes Administration and monitoring of absence data including return to work processes, reporting any concerns or absence triggers to the HR team. Support administration and tracking of employee leave and absence programs, including FMLA, state/local leave requirements, paid sick leave, disability leave, and other applicable leave programs, in partnership with HR and payroll colleagues. Coordinate and maintain required employment documentation, including Form I-9 and E-Verify processes where applicable, ensuring appropriate completion and recordkeeping. Assist with preparation and distribution of HR communications, employee announcements, forms, and other HR-related materials. Produce HR metrics (headcount, people stats, turnover) Updating the U.S. organizational chart with employee changes Training administration Maintain training platforms such as Cal Comply, KnowBe4, LinkedIn Learning to ensuring employees are up to date with training. Administration of learning and development courses: identify suitable dates, manage course enrolments, room bookings, Collaborate with the HR team, line managers, and an external training provider to enrol employees on to courses, recording attendance, updating company training matrix Sending calendar invitations to attendees Generalist HR support Provide day-to-day HR administrative support across all US locations where employees are based, ensuring consistent and timely delivery of HR processes, acting as the first point of contact for US HR queries. Maintain and update accurate employee records. Actively lead employee engagement activities. Assist with HR compliance audits and wider HR projects as required. Provide ad hoc administrative and employee engagement support. Be an ambassador of the company, always upholding and demonstrating the company values. Experience Previous experience working within a HR role is essential, or a HR qualification. Previous experience working within an office environment. Experience in delivering exceptional customer service either to internal or external stakeholders. Demonstrable understanding of the fundamentals of US employment law and its practical application within a HR environment.
