- HR and Credentialing Assistant Position type: Full time | In office Position Summary The HR and Credentialing Assistant supports daily human resources operations and provider credentialing for Graff's medical offices and affiliated ambulatory surgery centers.
This position coordinates recruitment and onboarding, maintains confidential records, tracks credential expirations, and follows up on applications and renewals. The assistant works closely with the HR Manager, providers, and department leaders to keep documentation accurate, complete, and ready for review. Essential ResponsibilitiesHuman Resources Support
- Assist with job postings, applicant screening, interview scheduling, candidate communication, and hiring status tracking.
- Prepare approved offer letters and onboarding materials; coordinate background checks and employment verifications through authorized processes.
- Collect and track new hire forms, employment eligibility documentation, policy acknowledgments, and required training records.
- Coordinate orientation and system access requests with department leaders and maintain onboarding checklists.
- Maintain employee files and tracking spreadsheets; update hiring, transfer, compensation, and separation records as directed.
- Assist with timekeeping, benefits enrollment, leave documentation, and payroll change records; refer policy questions and sensitive concerns to the HR Manager.
- Prepare routine HR correspondence and reports and support employee offboarding and collection of company property. Provider Credentialing and Enrollment Support
- Collect and organize provider applications, work history, references, licenses, DEA registrations when applicable, board credentials, malpractice coverage, and other required documents.
- Assist with initial credentialing, facility privileges, reappointment, and payer enrollment or revalidation; track these processes separately through completion.
- Complete assigned primary source verifications and approved exclusion checks; document sources, dates, results, and any discrepancies for review.
- Maintain CAQH profiles and other credentialing portals with authorized access; coordinate provider review and required attestations. Provider Credentialing and Enrollment Support Continued
- Track expiration dates and renewal deadlines for provider and clinical staff credentials, certifications, malpractice coverage, and facility documents using ExpirationReminder or designated tracking tools.
- Send advance reminders, follow up on missing items, and promptly escalate approaching expirations, incomplete applications, or potential coverage or privilege gaps.
- Communicate with providers, licensing boards, insurers, payer representatives, and facilities to confirm requirements and application status.
- Prepare organized credentialing and reappointment files for authorized review and approval; maintain approval dates, privileges, and supporting records.
- Assist with surgery center licensing and accreditation documentation, renewal calendars, and survey preparation as assigned. Confidentiality and Administrative Support
- Protect employee, provider, and patient information; use approved systems and share records only with authorized individuals.
- Maintain accurate logs, checklists, and status reports; identify missing documentation and report issues promptly.
- Follow established procedures and assist with audits, special projects, and other related duties. Final hiring, disciplinary, credentialing, and privileging decisions remain with authorized leadership. Additional Job Duties Any additional job duties assigned by direct management. Required Qualifications
- High school diploma or equivalent.
- At least one year of administrative experience in human resources, a medical office, credentialing, or a related setting.
- Proficiency with Microsoft Word, Excel, Outlook, and Teams; ability to learn HR and credentialing systems.
- Strong attention to detail, organization, written communication, and follow through; ability to manage multiple deadlines.
- Ability to handle sensitive information discreetly, maintain accurate records, and communicate professionally with employees and providers. Preferred Qualifications
- Associate degree or coursework in human resources, healthcare administration, or a related field.
- Experience with provider credentialing, CAQH, payer enrollment, or ambulatory surgery center documentation.
- Experience with HR systems, applicant tracking, electronic signatures, SharePoint, and ExpirationReminder.
Work Environment and Performance Expectations This position primarily involves office work, computer use, document review, and telephone communication. Occasional travel between practice locations may be required. Essential functions may be performed with reasonable accommodation. Working Conditions:
This position requires standing, walking, and sitting for extended periods. The Clinic Team Manager must be able to work during the clinic's hours, which may occasionally include evenings or weekends, depending on patient needs.
