Position Title:
HR Administrative Assistant Corporate Office Position Overview:
The HR Administrative Assistant supports the daily operations of the Human Resources department with a strong focus on recruiting, onboarding, and administrative coordination. This role is essential to ensuring an exceptional employee experience from the initial application through the first months of employment. The ideal candidate is detail-oriented, proactive, professional, and committed to maintaining the highest level of confidentiality.
Key Responsibilities:
Recruiting & Onboarding Coordinate the full-cycle recruiting process to ensure a seamless, positive candidate experience.

Post job openings and manage applicant flow across multiple platforms.

Track and manage all stages of the hiring process to ensure timely progression.

Prepare and issue offer letters.

Coordinate pre-employment requirements, including background checks, drug screens, physicals, and HPEs.

Manage and distribute pre-boarding and onboarding checklists.

Ensure all required documentation is completed prior to the employees start date.

Assign Yumi Academy courses to new hires and track completion and sign-off.

Conduct 30-, 60-, and 90-day follow-up reviews with new employees. Administrative & HR Support Communicate with staffing agencies regarding temporary employees and send them weekly time reports.

Respond to employment verifications and requests following established procedures.

Provide excellent customer service by responding to employee questions and inquiries.

Assist with HR reporting, correspondence, and general administrative tasks.

Support the department during annual benefits open enrollment.

Prepare documents, spreadsheets, and presentations; scan, fax, and organize files as needed.

Participate in HR projects, events, and departmental initiatives.

Perform other related duties as assigned.
Required Skills & Competencies Comprehension and Listening Skills:
Strong reading and active listening skills, including the ability to understand written information clearly and fully engage in conversations by listening attentively, asking appropriate questions, and responding thoughtfully.
Ethical Conduct:
Strong work ethic, professionalism, and commitment to confidentiality; ability to deal with sensitive information.
Technical Proficiency:
Advanced skills in Microsoft Excel, PowerPoint, Word, and Outlook.
Competency:
Demonstrated administrative, organizational, and detail-oriented skills, with the ability to prioritize tasks, manage time efficiently, meet deadlines, maintain accuracy, and respond with a high sense of urgency in a demanding environment.
Technical Proficiency:
Strong Computer Skills a Must (Excel, Word, Outlook, PowerPoint, Office 365, and Point).
System Knowledge:
Experience with HRIS software; UKG Ready a plus.
Work Environment & Physical Demands:
This position operates in a professional office setting and involves regular use of standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines. While performing the duties of this role, the employee will: Regularly sit for extended periodsFrequently stand, walk, talk, and hearFrequently use hands to handle, touch, or feel objects and reach with hands and armsOccasionally lift or move up to 20 pounds, typically involving office equipmentSpecific vision abilities include the ability to view computer monitors for prolonged periods
Qualifications & Employment Requirements:
Associate or bachelors degree in a related field preferred.

Minimum of two years of experience in a Human Resourcesrelated role.

Spanish language proficiency preferred.

Must successfully pass all pre-employment screenings, including background check, MVR, drug screen, physical, and HPE.Must be able to work in a smoke-free environment.

Must adhere to the company dress code; visible tattoos or body piercings are not permitted when wearing a company uniform or job-related attire.
