Job Description
- Oversee all day-to-day financial operations, including cash management, accounts payable, accounts receivable, banking, payroll, investments, and financial transactions.
- Lead the development and monitoring of annual operating, capital, and program budgets, cash flow projections, and financial forecasts.
- Ensure accurate and timely financial reporting, reconciliations, month-end and year-end close processes, and internal controls.
- Support the YMCA's long-term financial strategy, risk management, business planning, and organizational growth.
- Ensure compliance with applicable financial, tax, regulatory, grant, and national YMCA reporting requirements.
- Develop and maintain effective financial policies, procedures, systems, and workflows.
- Provide financial analysis and recommendations to the CEO, leadership team, Finance Committee, and Board of Directors. Tasks/Examples
- Prepare monthly and quarterly financial statements and reports.
- Prepare and update cash flow projections for the Finance Committee.
- Oversee bank reconciliations, credit card processing, accounts receivable, accounts payable, and month- and year-end reporting.
- Conduct payroll and coordinate payroll approval with managers.
- Develop budget proposals with senior managers and monitor departmental performance against approved budgets.
- Research revenue opportunities, economic trends, cost-saving opportunities, and process improvements.
- Monitor financial performance and establish corrective measures as needed.
- Manage finance personnel and financial IT systems.
- Prepare for and oversee the annual audit, ensuring timely completion and resolution of findings.
- File monthly sales tax returns and annual Form 1099s.
- Issue annual tax letters for donations.
- Prepare and submit national YMCA financial reports.
- Coordinate with outside firms on preparation and filing of Form 990.
- Review and recommend updates to finance, HR, and IT-related procedures. Management of Human Resource Compliance
- Oversee the YMCA's human resource operations, policies, procedures, and compliance.
- Manage the employee lifecycle, including recruitment, hiring, onboarding, development, engagement, performance management, and termination.
- Ensure accurate and timely payroll and benefits administration in coordination with internal staff and external service providers.
- Support a positive, engaged, and compliant workplace culture through effective employee communication and support.
- Ensure compliance with applicable employment laws, regulations, YMCA standards, and organizational policies.
- Coordinate employee safety, workers' compensation, and related insurance needs. Tasks/Examples
- Coordinate and oversee all hiring needs, including job postings, applicant processing, background checks, new hire paperwork, and onboarding.
- Coordinate employee orientation, training, and required documentation.
- Manage employee engagement initiatives and related communications.
- Administer employee benefits and coordinate annual renewals with providers.
- Maintain accurate employee records and HR documentation.
- Coordinate with external HR, payroll, benefits, and other service providers.
- Support managers with employee relations, performance management, policy interpretation, and corrective action.
- Coordinate employee termination processes and required documentation.
- Oversee employee break room postings, required notices, and employee resources and supplies.
- Manage all safety-related claims, workers' compensation matters, and related insurance needs.
- Review and maintain HR policies and procedures to ensure compliance with current requirements. Administrative and Board Support
- Provide effective administrative support for the CEO, leadership team, and Board of Directors.
- Coordinate Board meeting preparation, agendas, minutes, records, and related governance documentation.
- Maintain an organized, efficient, and well-supported administrative office environment.
- Oversee administrative resources, supplies, records, and processes necessary for effective organizational operations.
- Support organizational communication, compliance, risk management, and governance activities. Tasks/Examples
- Prepare Board agendas and record, organize, and file Board meeting minutes.
- Maintain Board records, governance documents, and related organizational files.
- Support preparation of materials for Board meetings, Finance Committee meetings, and other leadership meetings.
- Order and manage supplies and resources for the administrative team.
- Oversee employee break room supplies, postings, and administrative communications.
- Coordinate organizational insurance documentation, renewals, claims, and related administrative requirements.
- Support the CEO and leadership team with organizational projects, reports, correspondence, and administrative needs.
- Maintain appropriate records and documentation to support organizational compliance and governance.
- Assist with national YMCA, regulatory, insurance, and other organizational reporting as assigned.
- Five or more years of experience in executive leadership role
- Advanced knowledge of nonprofit finance and accounting
- Excellent leadership skills, with steadfast resolve and personal integrity
- Exceptional verbal, written and visual communication skills
- Understanding of advanced accounting, regulatory issues and tax planning
- Working knowledge of how to raise capital outside of traditional lines of credit
- Demonstrated success in building strong partnerships effectively among a wide variety of stakeholders to advance a common cause
- Experience in Modified Cash Accounting and Fund Accounting
- Familiar with payroll programs (ADP), fund accounting programs (SGA) and CRM (Daxco/Pulse)
- Experience in conversion process for new software Preferred skills and qualifications
- Master's degree in accounting, business accounting or finance
- Professional certification
Pay:
$60,000.00 - $70,000.00 per yearBenefits:
