Chetco Medical is a reputable medical clinic specializing in internal medicine and geriatrics located on the scenic southern Oregon Coast. With five dedicated medical providers currently serving our patients, we are committed to providing high-quality healthcare services to our community.
Job Summary:
We are seeking a proactive and organized Site Manager to oversee the administrative and HR operations of our medical clinic. This role will play a crucial part in ensuring smooth day-to-day clinic operations, supporting our medical providers, managing staff-related processes, and delivering exceptional patient and employee experiences.
Key Responsibilities:
Administrative Oversight:
Manage and oversee the daily administrative operations of the clinic, including scheduling, patient registration, medical records management, billing, and inventory control.
Human Resources Management:
Support HR functions including onboarding, employee records management, benefits coordination, time-off tracking, and assisting with payroll processes. Ensure HR policies and procedures are maintained and consistently applied.
Staff Management:
Supervise and support administrative staff, including medical receptionists and administrative assistants, ensuring they adhere to clinic policies and procedures. Assist with hiring, onboarding, performance management, and coordinate employee terminations in alignment with company policies.
Patient Relations:
Interact with patients to address inquiries, resolve issues, and ensure a positive patient experience from scheduling appointments to check-out.
Financial Management:
Assist with financial tasks such as billing, insurance claims processing, and managing accounts receivable/payable.
Compliance:
Ensure clinic operations comply with healthcare regulations, standards, and protocols, including HIPAA guidelines.
Communication:
Facilitate effective communication between medical staff, administrative team members, and external stakeholders.
Quality Improvement:
Collaborate with the management team to identify opportunities for process improvement and implement best practices to enhance clinic efficiency and patient satisfaction.
Supply Management:
Coordinate the procurement of office and medical supplies, ensuring adequate inventory levels are maintained.
Qualifications:
Education :
High school diploma required; Bachelor's degree preferred.
Experience :
Prior experience managing or working in a medical clinic is preferred.
Skills :
Strong organizational and multitasking abilities, excellent communication and interpersonal skills, proficiency in office software applications, familiarity with medical terminology and procedures.
Knowledge :
Understanding of medical billing practices, insurance verification processes, HR fundamentals, and electronic health record (EHR) systems.
Leadership :
Ability to lead and motivate a team in a fast-paced healthcare environment.
