That mix produces a lot of transactions and a lot of people, and this role keeps both sets of records clean. Most of the week is accounting: coding and reconciling in QuickBooks Online, chasing down variances, and building the schedules the owner and our outside CPA rely on. The rest is HR and payroll: running the pay cycle accurately and keeping onboarding, personnel files, and California compliance current. We are looking for a strong accounting background first, with enough HR experience to handle the people side without supervision. Responsibilities Accounting (about 80%) Record and code daily transactions in QuickBooks Online across sales channels, purchases, and expenses.
Process accounts payable:
match invoices, obtain approvals, schedule payments, and manage vendor records. Reconcile bank and credit card accounts monthly, research every variance, and document the resolution.Support month-end close:
journal entries, accruals, prepaid schedules, and the closing checklist. Maintain inventory and cost of goods sold entries, including trade show purchase reconciliations. Prepare sales tax worksheets and support filings. Build and maintain Excel schedules for management reporting, commission and bonus calculations, and analysis requests. Assemble the year-end workpapers and 1099 files for our outside CPA firm. Track deposits, petty cash, and company card activity against receipts and policy. HR and payroll (about 20%) Process payroll end to end in Rippling system including timecard review, overtime, sick leave accruals, deductions, and off-cycle checks. Audit timekeeping for missed punches, meal and rest break records, and unapproved overtime, and correct issues before payroll closes.Run onboarding and offboarding:
offer paperwork, I-9 verification, new hire notices, handbook acknowledgments, and final pay. What you need Three or more years in an accounting or bookkeeping role, including hands-on reconciliation and month-end work. Working proficiency in QuickBooks Online, including chart of accounts structure, bank feeds, and reconciliation.Strong Excel:
pivot tables, XLOOKUP or VLOOKUP, SUMIFS, and cleaning up large exports without breaking them. At least one year of payroll processing experience, start to finish. General working knowledge of California employment rules: overtime, meal and rest breaks, paid sick leave, final pay timing, and wage statement requirements. Accuracy under a close calendar, and the discipline to document what you did. Discretion with confidential payroll, personnel, and financial information.
