Job Description
Commercial Real Estate - HR Generalist About Us Shin Yen is a premier commercial real estate company with an extensive portfolio of properties across diverse regions. Position Summary The HR Generalistwill serve primarily as the Company's HR Generalist while also providing executive, administrative, and office support as business needs require. This position is responsible for day-to-day human resources functions, including recruiting, onboarding and offboarding, employee relations, payroll and timekeeping support, benefits administration, leave administration, workers' compensation, EDD matters, HR compliance, personnel records, and policy administration. In addition to the HR function, the position will provide support to executive leadership, assist the CFO with administrative and special projects, coordinate employee engagement activities and company events, and help support general office operations. The ideal candidate is organized, adaptable, highly detail-oriented, discreet, and comfortable working with employees, executives, vendors, and business partners from a wide range of professional and cultural backgrounds. Key Responsibilities Human Resources Coordinate recruiting and hiring activities, including job postings, candidate screening, interviews, offer letters, background checks, and staffing agency coordination. Manage employee onboarding and offboarding, including new-hire documentation, I-9s, orientations, system enrollment, required acknowledgments, and separation documentation. Assist management with employee relations, performance concerns, disciplinary matters, workplace issues, and appropriate documentation. Work professionally and effectively with employees of different backgrounds, cultures, experiences, and communication styles. Review and coordinate payroll and timekeeping matters, including timecards, PTO, attendance, employee changes, compensation changes, and payroll discrepancies. Administer employee benefits, including enrollments, changes, terminations, and coordination with brokers and carriers. Maintain accurate and confidential personnel files, HRIS records, payroll information, and employment documentation. Coordinate employee leaves of absence and applicable documentation. Assist with workers' compensation claims, workplace injury documentation, and communication with carriers and claims administrators. Respond to EDD/unemployment claims, employment verifications, wage requests, and other employment-related inquiries. Assist with compliance with applicable California and federal employment requirements. Draft, maintain, and update HR policies, procedures, forms, employee handbook materials, and internal HR controls. Assist management with performance reviews, compensation changes, promotions, HR reporting, audits, and other HR projects. Executive & Administrative Support Provide administrative support to executive leadership and senior management. Manage executive calendars, appointments, meetings, and scheduling priorities. Coordinate internal and external meetings and prepare necessary materials. Draft and organize emails, letters, reports, presentations, and executive correspondence. Track executive deadlines, action items, assignments, and follow-ups. Coordinate communications with employees, vendors, consultants, and other outside parties. Organize and maintain confidential executive and corporate records. Coordinate business travel, reservations, itineraries, and related arrangements as needed. Assist with expense reports, invoices, reimbursements, and other administrative matters. Handle sensitive business and personnel information with discretion. Anticipate executive needs and proactively follow up on outstanding assignments. CFO Support & Special Projects Provide administrative and operational support to the CFO in connection with the CFO's responsibilities and functions within the Company. Assist with special projects, research, documentation, coordination, and follow-up as requested. Prepare, organize, and compile documents, reports, schedules, correspondence, and other materials for CFO review. Track action items, deadlines, outstanding requests, and follow-up matters assigned by the CFO. Coordinate with internal departments and outside parties to obtain information or documentation requested by the CFO. Assist with administrative portions of audits, insurance matters, compliance projects, and internal reviews when requested. Help coordinate information between the CFO and Accounting, Property Management, Asset Management, HR, and other departments. Perform other administrative, operational, and special-project duties reasonably related to the position and the CFO's function within the Company. Maintain strict confidentiality regarding financial, personnel, ownership, and other sensitive Company information. Employee Engagement & Company Events Plan and coordinate company parties, holiday events, employee appreciation events, lunches, celebrations, and other employee activities. Coordinate event venues, catering, decorations, entertainment, invitations, supplies, and other logistics. Communicate event information and schedules to employees. Coordinate employee birthdays, anniversaries, recognition activities, and other workplace celebrations as appropriate. Work with vendors and management to obtain pricing and coordinate event arrangements. Maintain event budgets, receipts, invoices, and related documentation. Assist with event setup and day-of coordination. Support activities that promote employee engagement and a positive workplace environment. Office Coordination Coordinate conference rooms and meeting spaces to ensure they are organized and prepared. Assist with employee seating, office access, keys, badges, and other workplace arrangements. Coordinate office lunches, meetings, celebrations, and other employee activities. Assist with communication of office announcements, schedules, closures, and internal activities. Serve as a point of contact for general office administrative needs. Coordinate with IT and service providers regarding office-related matters. Help maintain an organized, professional, welcoming, and efficient office environment. Assist management with other office projects and operational needs as assigned. Qualifications Bachelor's degree from an accredited college or university required. Degree in Human Resources, Business Administration, Management, or a related field preferred. Minimum of 3 years of relevant HR experience required. Experience supporting employees and management in a California work environment strongly preferred. Prior experience supporting executives or senior management preferred. Experience coordinating company events, employee activities, or office operations preferred. Working knowledge of recruiting, employee relations, payroll, benefits, leaves, workers' compensation, EDD matters, and HR compliance. Experience with HRIS, payroll, and timekeeping systems preferred. Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. Excellent written and verbal communication skills. Strong organizational, scheduling, and follow-up capabilities. Ability to manage multiple projects, responsibilities, and deadlines simultaneously. High attention to detail and accuracy. Ability to handle confidential and sensitive information with professionalism and discretion. Ability to work effectively and professionally with employees and stakeholders from diverse backgrounds, cultures, and professional experiences. Key Attributes The successful candidate should be organized, proactive, dependable, resourceful, personable, adaptable, and highly detail-oriented. This individual must be comfortable shifting between HR responsibilities, executive support, CFO assignments, employee engagement activities, and office coordination while maintaining appropriate priorities and deadlines. Because this position regularly interacts with individuals from different backgrounds, cultures, roles, and levels of the organization, the candidate must demonstrate strong interpersonal awareness, professionalism, respect, adaptability, and sound judgment. The role requires strong confidentiality, follow-through, flexibility, and the ability to take ownership of assignments from beginning to completion.
Pay:
