HUMAN
RESOURCES ASSOCIATE REPORTS TO
DIRECTOR
OF HUMAN RESOURCES POSITIONS SUPERVISED
NONE CLASS:

FULL-TIME
NON-EXEMPT BASIC FUNCTIONS
The Human Resources (HR) Associate provides support to the Director of Human Resources, the staff members of Valley Health Team, and the community by providing the necessary information relating to ancillary projects, and HR processes. This position is responsible for the general oversight of HR office functions such as filing, updating of personnel information, employment questions, uniform orders, etc.
DUTIES AND RESPONSIBILITIES
1. Provide administrative support to the Director of Human Resources. 2. Perform day-to-day administrative functions and general office duties including but not limited to work processing, copying, filing, and data entry. 3. Perform detailed work with accuracy and assist with department organization. 4. Maintain and update a variety of records and file related to assigned office operations and activities. 5. Receive calls and visitors on behalf of Human Resources department. 6. Receive, sort, and distribute mail for the department 7. Enter data into computer, print reports, and verify accuracy of data as necessary. 8. Manage and coordinate uniform orders 9. Support the needs of the health center by providing personnel/employee relations support to all departments within Valley Health Team. 10. Support the customer service goals of the corporation by providing information and answering questions and requests appropriately. 11. Provide administrative support to the Director of Human Resources. 12. Provide employee with all pertinent paperwork and information forwarding benefit enrollment forms to insurance company. 13. Support team by creating and maintaining personnel/medical/credentialing files on new, existing and departed staff. 14. Provide information by maintaining Human Resources Information Systems (HRIS) records and compile reports from database as needed. 15. Support the recordkeeping process by generating documents that indicate personnel changes. 16. Replenish forms and materials necessary for the smooth operation of the department. 17. Revise Human Resources documents (e.g. procedural documents, etc.) by entering/retyping edited information. 18. Prepare work to be accomplished by gathering and sorting documents to be filed and/or archived in accordance with established VHT policies and procedures. 19. Provide accurate benefit information and forms by answering questions and requests for information, referring to Director of Human Resources when appropriate. 20. Conduct employment verifications within the established guidelines. 21. Receive, sort and distribute department mail. 22. Review and update HR invoices on a monthly basis. 23. Conduct HR inventory and replenish items low in stock 24. Oversee the creation of electronic personnel file on new personnel by generating file in HRIS database. 25. Prepare HR reports as designated by the Director of Human Resources by assembling and compiling data and running requested reports. 26. Secure staff data by coordinating and overseeing staff and supervisor requests for information in accordance with established VHT policies and procedures on information requests. 27. Maintain HRIS database and update employment changes as they occur by accurately completing data entry. 28. On a temporary basis, may be required to work at any satellite facility. 29. Contribute to team effort by assisting other departments as needed and while maintaining confidentiality of VHT's business. 30. Work cooperatively with all staff members and outside sources in a professional manner to deliver a high level of service. 31. MINIMUM QUALIFICATIONS
1. Associates Degree in business administration or related field from an accredited college or equivalent highly preferred 2. Certificate or Degree in HR preferred 3. Minimum two (2) years' work experience in office environment 4. Ability to type 55 wpm with proficient typing requirements 5. Strong verbal, written, analytical and interpersonal skills 6. Strong customer service skills (preferably within a service industry) 7. Modern office practices and procedures (including email) 8. General computer skills and demonstrated proficiency with MS Office Suite (e.g. Word, Excel, etc.) 9. Excellent oral and written communication skills - be able to provide information in a clear and concise manner; good interpersonal skills 10. Be self-motivated and have the ability to prioritize work and meet deadlines 11. Must demonstrate integrity, sound judgment and strong leadership skills 12. Maintain and enforce the highest level of quality standards and customer service 13. Ability to be flexible with work schedule and available to work at all site locations 14. Must have own transportation, valid California Driver's License and current proof of automobile insurance coverage 15. Demonstrated ability to provide world-class patient experience using CICARE principles and practices. Ability to be proactive and to go above and beyond the call of duty; take initiative to provide a world class patient experience in all encounters via email, phone or in person
TYPICAL WORKING CONDITIONS
The office setting is a normal work environment. Occasionally work during early morning, evening or weekend. May be subjected to temperature variances in the office.
TYPICAL PHYSICAL DEMANDS
Requires sitting, standing, or walking for up to eight hours a day. Some bending, stretching, or reaching may be necessary. Lifting up to 40 pounds may be required on occasion. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contact.
