Position Summary Operating within a dynamic food manufacturing facility, the HR Generalist oversees daily Human Resources activities. This role serves as a primary point of contact for staff and management, delivering comprehensive oversight in employee relations, talent acquisition, onboarding, benefits and leave administration, training initiatives, occupational safety, workers' compensation, regulatory compliance, and record maintenance. Collaborating directly with plant leadership and personnel, the HR Generalist ensures standardized HR procedures, facilitates clear communication, fosters a positive environment, and maintains adherence to federal, California, and local labor regulations. Positioned fully on-site, this role demands professional bilingual fluency in English and Spanish to interact effectively across all levels of the organization.
Essential Duties and Responsibilities Employee Relations & Employee Engagement:
20% Serve as a primary HR contact for employee questions, concerns, policies, benefits, workplace issues, and general HR matters. Escalates to HR & Compliance Manager as needed. Support supervisors and managers with employee relations and performance-management matters. Counsel supervisors and managers regarding coaching and counseling, verbal and written warnings, investigations, suspensions, and other corrective actions as needed to ensure consistency and fair practices. Escalates issues to HR & Compliance manager as needed. Conduct or assist with workplace investigations and maintain appropriate documentation as needed. Recommend and enforce disciplinary actions as needed. Promote consistent application of company policies and procedures. Assist employees and supervisors with conflict resolution and workplace communication. Escalate significant employee relations, compliance, harassment, discrimination, retaliation, or safety concerns to the HR & Compliance Manager as appropriate. Plant and execute employee engagement efforts and events.
Talent Acquisition:
10% Coordinate recruiting activities for hourly production, warehouse, sanitation, maintenance, administrative, and other positions as assigned. Review applications for non-exempt job openings, conduct initial phone screens and coordinate interviews with hiring managers, and support candidate selection. Make recommendations regarding hourly candidate selection.
Onboarding/Offboarding:
15% Prepare offer letters and coordinate pre-employment requirements for non-exempt positions. Complete new-hire onboarding and orientation for Non-Exempt and Exempt new hires. Ensure required new-hire forms, notices, acknowledgments, and company documents are completed and maintained. Ensure I-9 completion and employment eligibility documentation in accordance with applicable requirements. Maintain I-9 Files. Assist with employee transfers, promotions, status changes, and terminations. Maintain accurate employee information in HRIS, payroll, timekeeping, and other HR systems as assigned.
Benefits & Leave Administration:
15% Assist employees with benefits enrollment, qualifying life events, and general benefit questions. Coordinate employee leave requests and required documentation. Support administration of applicable leave programs, including FMLA, CFRA, Pregnancy Disability Leave (PDL), California Paid Sick Leave, workers' compensation leave, and other applicable protected leaves. Track leave dates, certifications, notices, return-to-work information, and related documentation. Maintain confidentiality of medical and leave-related information.
Support Open Enrollment Process Benefits & Cobra Terminations Workers' Compensation & Food Safety and Employee Safety Support:
10% Report workplace recordable injuries to WC Carrier and assist with WC documentation. Collect and maintain required injury forms and employee workers' compensation information from the managers/supervisors/injured workers. Assist with communication regarding medical treatment, work restrictions, modified duty, and return-to-work status in the absence of the HR & Compliance Manager. Assist with maintaining workers' compensation and injury records in the absence of the HR & Compliance Manager. Partner with operations and safety leadership to support workplace safety programs and employee safety training. Assist with safety meetings, documentation, corrective actions, and compliance activities. Immediately escalate serious injuries and workplace safety concerns in accordance with company procedures. Be an active member of the Safety Committee. Maintain a clean, organized, and safe work area throughout the shift. Ensure employees follow food safety, GMP, sanitation, safety, and company procedures.
Timekeeping & Payroll Support:
15% Enroll new employees in the company's timekeeping clocks and UKG Self Service. Assist employees with clock issues such as resetting biometrics and UKG Self Service such as resetting passwords/usernames, how to access the system,etc. Support supervisors and employees with timekeeping procedures and documentation. Assist with payroll-related employee questions and coordinate corrections with payroll and supervisors as appropriate. Monitor timekeeping issues such as missed punches and incomplete records and follow up with employees and supervisors as needed. Support compliance with company meal-period, rest-period, overtime, and timekeeping procedures. Sort and distribute payroll checks bi-weekly.
Training & Compliance:
15% Maintain employee training records. Maintain required employment posters and workplace notices. Coordinate and document required employee, management and supervisor training. Assist with harassment-prevention training, safety training, company-policy training, and other required programs as needed. Assist with policy implementation and employee communications. Support HR audits and compliance reviews. Assist HR & Compliance Manager in monitoring changes to employment requirements and updating procedures as directed. Perform other related duties as assigned. Qualifications, Education, Knowledge & Skills Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and relevant HR experience may be considered. 2-4 years of Human Resources experience preferred. Previous HR experience in food manufacturing, manufacturing, distribution, agriculture, warehousing, or another hourly workforce environment strongly preferred. Bilingual English/Spanish required, with the ability to speak, read, write, and translate workplace communications effectively in both languages. Working knowledge of California employment practices strongly preferred. Experience supporting employee relations and workplace investigations preferred. Experience with HRIS, payroll, and electronic timekeeping systems, UKG preferred. Proficiency with Microsoft Office and Google Workspace. Strong organizational, documentation, communication, and interpersonal skills. Ability to handle confidential and sensitive information with discretion. Ability to interact effectively with employees at all organizational levels . Reliable attendance and punctuality Ability to work occasional overtime, weekends, or schedule adjustments based on production needs. Knowledge of food safety, GMP, sanitation, and workplace safety practices preferred. Physical Requirements Regularly required to sit, stand, walk, talk, hear, and use hands and fingers to operate computers, phones, and other office equipment. Ability to sit for extended periods while performing computer and administrative work. Ability to stand and walk for extended periods, including walking through production, warehouse, breakroom, and other facility areas. Must be able to frequently move between office and production environments throughout the workday. Occasionally required to bend, stoop, kneel, reach, or climb stairs while performing HR duties or conducting workplace observations. Ability to lift, carry, push, or pull up to 25 pounds occasionally, such as employee files, training materials, office supplies, or onboarding materials. Must have sufficient visual ability to read documents, review computer screens, complete paperwork, and observe workplace conditions. Must have sufficient hearing and communication ability to communicate effectively with employees, supervisors, applicants, and visitors, with or without reasonable accommodation. When entering production areas, must be able to wear required personal protective equipment (PPE) and comply with applicable food-safety and workplace-safety requirements. Work Environment On-site at Food Manufacturing and Bakery environment. The position may require entering production, warehouse, sanitation, and other operational areas. Exposure to machinery, moving equipment, temperature variations, moisture, and food ingredients such as flour dust, and slippery floor conditions Noise levels may require hearing protection. Must be able to wear Personal Protective Equipment such as aprons, smocks, beard nets, hair nets, eye protection, non-slip safety shoes when entering food processing areas. The position requires flexibility to support employees working different shifts and schedules as business needs require. Overtime, weekends, and holidays required based on production needs. Employees must follow applicable Good Manufacturing Practices (GMPs), food-safety requirements, personal protective equipment (PPE) requirements, and company safety procedures while in these areas.
