SUMMARY The Human Resources Generalist manages the day-to-day administration of the full employee lifecycle across DisplayIt's multistate locations. Responsibilities include recruiting coordination, onboarding and offboarding, payroll and timekeeping, HRIS administration, employee relations, benefits and leaves, workers' compensation, compliance, reporting, and employee support. The position is expected to operate independently with limited day-to-day supervision, follow established processes and approval requirements, maintain a high level of accuracy, act with urgency, and effectively prioritize competing responsibilities. The HR Generalist proactively identifies and resolves routine issues, asks appropriate questions when information is incomplete or unclear, maintains accurate employee data, and escalates exceptions, higher-risk matters, or issues requiring additional authority to the Executive Director of People, Culture and Organizational Strategy. The HR Generalist also identifies opportunities to improve HR operations through process improvement, technology, automation, and approved AI tools.
RESPONSIBILITIES
Recruitment, Onboarding and Employee Administration Coordinate approved recruiting activities, including job postings, resume review, applicant communication, interview scheduling, candidate follow-up, offers, background checks, employment verifications, and other pre-employment requirements. Confirm required approvals, compensation, position, department, location, reporting structure, and start date before initiating onboarding. Manage onboarding through first-day readiness, including Paychex setup, I-9s, employment documents, orientation, training, equipment, and system-access coordination. Maintain accurate employee records throughout the employee lifecycle. Process approved promotions, transfers, compensation changes, reporting changes, and employment-status updates. Coordinate employee separations, offboarding, final-pay information, system updates, and required documentation. Payroll, Timekeeping and HRIS Administer biweekly payroll and prepare complete, reconciled payroll for final HR leadership approval. Review timecards, manager approvals, missing punches, attendance, overtime, double time, PTO, premiums, deductions, compensation changes, and other payroll items for accuracy. Research and resolve payroll and timekeeping discrepancies and coordinate corrections with Paychex. Maintain accurate Paychex records, personnel files, payroll documentation, and required checklists. Conduct periodic HRIS audits and ensure employee information, classifications, compensation, departments, supervisors, and benefit eligibility remain accurate. Identify recurring payroll, attendance, or data issues and escalate as appropriate. Employee Relations, Benefits and Leaves Serve as a primary HR contact for employees and supervisors regarding routine HR matters, policies, procedures, and workplace concerns. Conduct initial fact-finding and maintain documentation related to attendance, performance, conduct, corrective action, investigations, and other employee-relations matters. Administer routine benefits and leave processes, including eligibility, enrollments, qualifying events, documentation, work restrictions, and return-to-work tracking. Coordinate with employees, managers, Paychex, benefit providers, and third-party administrators as needed. Maintain confidential records and escalate complex, sensitive, legal, or higher-risk matters to the Executive Director. Workers' Compensation, Safety and Compliance Work closely with the Safety Manager to process and document work-related injuries and workers' compensation claims. Ensure injuries are reported timely and maintain required claim, incident, medical-status, work-restriction, modified-duty, and return-to-work documentation. Assist with gathering employee statements, incident information, and other required records. Maintain safety training, certification, compliance, and regulatory documentation in coordination with Safety leadership. Track performance reviews, corrective actions, PIPs, required training, licenses, and certifications. Support compliance with applicable federal, California, and Texas employment requirements and escalate complex matters as appropriate. Reporting, Engagement and Continuous Improvement Prepare accurate workforce reports and metrics, including headcount, hiring, turnover, retention, attendance, overtime, onboarding, and workers' compensation activity. Support employee engagement, recognition, communications, and company initiatives. Proactively identify process gaps, recurring problems, and opportunities to improve HR efficiency, accuracy, compliance, and employee service. Use technology, automation, and approved AI tools where appropriate to improve HR workflows, reporting, communication, analysis, and administrative productivity. Validate AI-generated work for accuracy and protect confidential or sensitive information in accordance with company requirements. Ask questions and seek clarification when information is incomplete or inconsistent, take initiative to move work forward, and follow issues through resolution or escalation.
QUALIFICATIONS
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- Minimum 5 years of progressive HR Generalist experience, preferably in manufacturing or another high-volume workforce environment.
- Experience with payroll, time and attendance, onboarding, HRIS administration, employee relations, benefits, and employee records.
- Strong working knowledge of California employment and wage-and-hour requirements; Texas HR experience preferred.
- HRIS/payroll system experience; Paychex experience strongly preferred.
- Strong critical-thinking, organizational, prioritization, and problem-solving skills.
- Demonstrated initiative, sense of urgency, independent follow-through, and ability to manage competing priorities.
- Ability to identify problems, ask appropriate questions, and recommend practical process improvements.
- Professional experience using AI or AI-enabled productivity tools preferred.
- Strong technology skills and ability to learn new HR systems and tools quickly.
- Proficiency in Microsoft Office.
- Excellent written and verbal communication skills.
- Ability to maintain confidential information with discretion.
- Bilingual English/Spanish preferred.
- PHR or SHRM-CP preferred.
