Position Overview The Human Resources Generalist is a part-time position scheduled for 24 - 28 hours per week. The role supports day-to-day human resources administration throughout the employee lifecycle, including onboarding, employee records, benefits support, policy administration, employee communications, compliance tracking, and separation activities. The position works closely with Human Resources, managers, employees, and external service providers to keep records accurate, requests moving, and required actions completed on time. Success in this role requires strong organization, careful handling of confidential information, professional communication, and consistent follow-through across multiple priorities and systems. - HR administration experience: Practical knowledge of onboarding, employee records, benefits support, policy administration, and separation procedures.

- Communication and judgment: Clear, professional communication with employees, managers, vendors, and leadership, with sound judgment about when to resolve, route, or escalate an issue. Essential Functions and Responsibilities - Onboarding and Employee Records
- Process new-hire documentation and correspondence from request through onboarding completion.
- Review employment agreements, assignment documents, applicant information, and required HR forms for accuracy and completeness; resolve missing or inconsistent information promptly.
- Create and maintain electronic employee files using established naming conventions, confidentiality controls, and document-retention practices.
- Enter and reconcile new-hire and employee information across applicable HR, onboarding, learning, and document-management systems.
- Track outstanding onboarding items, send reminders, and confirm completion of required employment documents and training.
- Maintain accurate employee rosters and confirm that active and inactive employee status is current across applicable systems. Employee Support and HR Administration
- Respond to employee requests directly or route them to the appropriate department, maintaining prompt communication and appropriate documentation.
- Process or coordinate approved changes involving addresses, email addresses, benefits information, and other employee records.
- Assist with annual handbook updates, policy acknowledgments, required notices, unemployment responses, and employment verifications.
- Coordinate meal-break compliance communications, counseling documentation, and follow-up with employees and managers.
- Sort, scan, and route incoming mail, checks, garnishments, claims, legal notices, workers' compensation correspondence, and other sensitive items to the designated owner.
- Maintain professional, service-oriented communication while applying policies consistently and escalating sensitive matters appropriately. Benefits and Employee Lifecycle Support
- Assist eligible employees with benefit enrollment, coverage information, required documentation, and questions within the scope of the role.
- Support annual open enrollment by distributing materials, tracking submissions, and following up on missing documents by established deadlines.
- Coordinate employee separation activities across applicable systems, including benefits termination, status and date updates, required notices, and file documentation.
- Issue resignation or termination confirmation and unemployment information, as applicable, using approved templates and escalation procedures.
- Ensure employment eligibility and onboarding records are handled according to retention rules and company procedures when a new hire does not start. Compliance Reporting and Process Support
- Conduct routine personnel-file and system reviews to confirm required documentation, data accuracy, training completion, and policy compliance.
- Track recurring training, employee acknowledgments, annual evaluations, and other time-sensitive HR requirements; follow up before items become overdue.
- Save material correspondence and employment actions to the appropriate employee record using established naming and dating conventions.
- Prepare HR activity information, audit findings, and trend summaries for leadership, including practical recommendations for improvement.
- Assist with internal reviews, external information requests, corrective actions, and ongoing record readiness.
- Identify process gaps and help implement improved policies, workflows, platforms, and controls.
- Partner with Human Resources, managers, employees, and external vendors to reduce risk and improve service delivery.
- Perform other related duties and special projects consistent with the position. Required Qualifications
- Three or more years of experience in human resources, employee onboarding, benefits administration, compliance support, or a closely related function.
- Practical knowledge of employee records, policy administration, benefits coordination, employment documentation, and employee lifecycle processes.
- Experience managing multiple deadlines and high-volume documentation with a high degree of accuracy.
- Strong written and verbal communication skills and the ability to interact professionally with employees, managers, vendors, and leaders.
- Proficiency with Microsoft Office or equivalent productivity tools and the ability to learn multiple HR and administrative platforms.
- Demonstrated discretion in handling confidential employee and business information.
- Ability to work independently, prioritize competing demands, document work thoroughly, and escalate risk appropriately within a 24-hour weekly schedule. Preferred Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
- Experience supporting employees in a multi-location, temporary staffing, or service-based organization.
- Familiarity with employment eligibility documentation, state-specific employment requirements, employee benefits, and workplace compliance practices.
- Professional certification such as PHR or SHRM-CP.
