Full Job Description Job Summary:
The HR Specialist - Compensation & Payroll is responsible for supporting and administering key Human Resources functions with a primary emphasis on payroll, compensation, employee data, benefits, and HR compliance. This position ensures employees are paid accurately and timely, compensation programs are administered consistently, and HR records and processes are maintained accurately and confidentially. The HR Specialist serves as a resource to employees and managers regarding payroll, compensation, benefits, policies, and general HR matters while partnering with leadership to support effective and compliant HR practices.
Key Responsibilities:
Compensation Administration Maintain and administer employee compensation information, including pay rates, salary ranges, SPIFFs, commissions, bonuses, incentives, and other compensation programs. Ensure compensation changes are properly authorized, documented, and entered into HR systems. Support management with compensation reviews, pay adjustments, promotions, and job changes. Conduct compensation research and assist with market pay comparisons and benchmarking. Maintain accurate job descriptions, pay classifications, compensation structures, and related documentation. Assist with the development and administration of compensation programs designed to support employee retention, performance, and business objectives. Monitor compensation practices for consistency and identify potential pay equity or internal equity concerns. Assist with the administration and tracking of incentive, bonus, SPIFFs, commission, and other variable-pay programs. Payroll Administration Coordinate and administer the company's payroll process, ensuring accurate and timely payment of employees. Review payroll information for accuracy, including hours worked, overtime, SPIFFs, commissions, bonuses, deductions, reimbursements, and other earnings. Maintain accurate employee payroll records and ensure changes are properly documented and processed. Research and resolve payroll discrepancies and employee questions promptly. Reconcile payroll reports. Coordinate payroll-related tax, wage, deduction, and reporting requirements as applicable. Maintain accurate records related to garnishments, child support orders, benefit deductions, and other payroll deductions. Assist with year-end payroll activities, including W-2 preparation and reconciliation. Ensure payroll practices are consistent with company policies and applicable federal, state, and local requirements. HR Administration Maintain accurate and confidential employee personnel records and HR information. Process employee changes throughout the employee lifecycle, including onboarding, transfers, promotions, leaves, and separations. Assist with benefits administration, including enrollment, qualifying life events, employee deductions, and benefit-related questions. Assist with employee onboarding and ensure required documentation is completed accurately and timely. Provide employees and managers with guidance regarding HR policies, procedures, payroll, compensation, and benefits. Prepare HR reports, spreadsheets, and workforce data for management review. Assist with employee engagement, performance management, and other HR initiatives. Maintain knowledge of company policies and applicable employment laws and regulations. HR Compliance & Reporting Maintain accurate documentation to support compliance with applicable employment, wage and hour, payroll, and recordkeeping requirements. Assist with required HR, payroll, benefits, and regulatory reporting. Maintain confidentiality of employee compensation, payroll, benefits, and personnel information. Assist with internal and external audits involving payroll, compensation, benefits, and employee records. Identify process gaps and recommend improvements to increase accuracy, efficiency, and compliance. Employee & Manager Support Serve as a primary point of contact for employee questions related to payroll, compensation, benefits, and HR policies. Explain payroll calculations, deductions, compensation changes, and benefit-related matters in a clear and professional manner. Partner with managers to ensure employee changes and compensation actions are properly communicated and processed. Handle sensitive employee information and concerns with discretion, professionalism, and confidentiality. Key Performance Indicators (KPIs) Payroll accuracy and timely processing Number and frequency of payroll errors or corrections Timeliness of employee pay and status changes Accuracy of compensation and employee records Timely processing of new hires, terminations, promotions, and pay changes Accuracy of payroll deductions and benefit deductions Completion of required payroll and HR reporting Timeliness of employee and manager response/resolution Compliance with payroll and HR procedures Successful completion of payroll, benefits, and HR audits Accuracy and timeliness of compensation program administration Identification and implementation of HR/payroll process improvements Other duties as assigned.
Qualifications:
    Education:
    Bachelor's degree in Human Resources, Business Administration, or a related field. Equivalent combinations of education and experience may be considered
      Experience:
      2-5 years of experience in Human Resources, payroll, compensation, or a related field.
        Certifications:
        PHR, SHRM-CP, or other relevant HR certifications (preferred).
          Skills:
          ○ Strong working knowledge of payroll processes and payroll administration. ○ Experience handling employee compensation, pay changes, bonuses, SPIFFs, commissions, or incentive programs. ○ Strong attention to detail and a high degree of accuracy. ○ Strong organizational and time-management skills. ○ Ability to maintain strict confidentiality regarding employee and company information. ○ Strong analytical and problem-solving skills. ○ Excellent written and verbal communication skills.
          • Proficiency with Microsoft Excel and HR/payroll systems.
          • Team-oriented.
          Background and Drug Screening are required prior to employment.
