Human Resources Receptionist
Job Description
Job Summary This individual provides essential front office administrative and operational support to the Human Resources team and plays a key role in delivering a positive and engaging employee experience. This position supports core HR functions including employee data management, onboarding, internal communication, compliance processes, and engagement event coordination. Ideal candidates are detail-oriented, organized, and professional, with the ability to manage multiple priorities while maintaining confidentiality and a service-first mindset. This role is vital to ensuring HR operational excellence and promoting a collaborative and employee-centered culture. Key Responsibilities This position sits at the front desk and will greet all employees, vendors, and visitors. Serve as the primary contact for mail distribution and ownership of the HR inbox, ensuring timely and appropriate routing and response to inquiries Manage core HR administrative functions, including processing employee terminations and ordering office supplies Maintain and update employee records in HR systems, ensuring data accuracy and compliance with company policies and regulatory requirements Collaborate on key HR processes, including new hire onboarding and status changes, by ensuring timely and accurate data entry and coordination Support planning, logistics, and execution of employee engagement activities and internal events under the direction of the lead event coordinator Post internal communications, announcements, and updates on company platforms (e.g., Pulse) highlighting employee programs, events, and perks Answer and route incoming calls on HR phone lines, providing friendly and professional service to employees and external contacts Maintain strict confidentiality of employee and organizational information at all times Provide general administrative support to the HR team and assist with special projects and other tasks as needed The above statements are intended to describe the general nature and level of work being performed by people assigned to this job. Work Environment Office-based, service-oriented environment with frequent communication and collaboration Schedule Monday-Friday from 7:30am to 4:30pm Education and Experience 1-2 years of experience in human resources, administrative support, or customer service Proficiency with HRIS systems (UKG) preferred and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Excellent organizational and time-management skills with the ability to manage multiple priorities Strong written and verbal communication skills High level of discretion and commitment to maintaining confidentiality Detail-oriented with a proactive approach to problem-solving and continuous improvement Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
