We are looking for a reliable, detail-oriented HR/Payroll Assistant to support day-to-day human resources and payroll functions. This role will assist with employee records, onboarding paperwork, payroll processing support, benefits administration, union reporting, compliance tracking, and general HR coordination. The ideal candidate is organized, discreet, accurate, and comfortable handling confidential employee information in a fast-paced office environment.Key Responsibilities:
Human Resources Administration:
- Maintain employee records, personnel files, and HR documentation with accuracy and confidentiality.
- Assist with onboarding and offboarding processes, including new hire paperwork, employment forms, and internal checklists.
- Support benefits administration by helping employees with enrollment paperwork, eligibility updates, and general benefit-related questions.
- Track required employee documentation, certifications, and compliance-related forms.
- Assist with union-related administrative support, including maintaining union employee documentation, tracking required forms, and coordinating paperwork related to union benefits, dues, and compliance requirements.
- Assist with HR communications, employee notices, and general administrative support for the HR department.
- Respond to routine employee questions and escalate sensitive or complex matters to the HR Manager.
Payroll Support:
- Assist with weekly payroll preparation, including reviewing, and organizing hours, payroll changes, and supporting documentation.
- Enter and verify payroll-related data to help ensure accurate and timely payroll processing.
- Help maintain payroll records, employee deductions, direct deposit information, and tax-related forms.
- Support union payroll documentation by helping organize hours, classifications, deductions, fringe benefit information, and related reporting materials.
- Coordinate with employees and supervisors to resolve basic timekeeping or payroll documentation questions.
- Provide general administrative support to Accounting, HR, and management as needed.
Qualifications & Skills:
- Previous experience in human resources, payroll, accounting support, office administration, or a related administrative role preferred.
- Strong attention to detail and ability to handle confidential information with professionalism and discretion.
- Basic understanding of payroll processes, timekeeping, employee records, and HR documentation preferred.
- Familiarity with union employee documentation, collective bargaining agreement requirements, or union payroll support preferred.
- Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
- Strong organizational skills with the ability to manage deadlines, follow up on missing information, and prioritize multiple tasks.
- Clear written and verbal communication skills with a professional, employee-service-oriented approach.
- High school diploma or equivalent required; coursework or experience in Human Resources, Payroll, Accounting, or Business Administration preferred.
