JOB SUMMARY
We are seeking a highly organized, experienced, and dependable Human Resources & Operations Specialist to support the agency's human resources functions while providing administrative and operational support to ensure the organization runs efficiently. This position will play an important role in managing day-to-day HR processes, maintaining accurate and compliant employee records, coordinating recruitment and onboarding, tracking required employee training, supporting employee relations, and assisting leadership with the implementation of workplace policies, procedures, and internal systems. The ideal candidate is a detail-oriented HR professional who understands the importance of confidentiality, compliance, documentation, communication, and consistency. This individual should be comfortable working independently, managing multiple priorities, and serving as a reliable resource for both leadership and staff. This is a part-time, fully in-person position based in New Orleans, Louisiana.
KEY RESPONSIBILITIES
Human Resources & Employee Administration Manage and support the full-cycle recruitment process, including job postings, candidate sourcing, application screening, interview coordination, selection support, and onboarding. Maintain accurate, organized, and up-to-date employee personnel files in accordance with applicable agency requirements and Louisiana Department of Health standards. Ensure required employee documentation, certifications, acknowledgments, and employment records are complete and current. Monitor employee file compliance and maintain records in preparation for internal and external audits. Support the onboarding process and ensure new employees complete all required employment documentation and orientation requirements. Serve as a point of contact for employees regarding routine HR-related questions and concerns. Support effective communication between employees and management. Assist leadership with employee relations matters, disciplinary processes, performance documentation, and corrective action as directed. Support leadership with the implementation and communication of HR policies, workplace standards, procedures, and internal expectations. Assist with the development, organization, and maintenance of HR-related policies, procedures, forms, and SOPs. Maintain confidentiality when handling sensitive employee, personnel, and agency information. Training & Compliance Coordinate, schedule, and track required employee training in accordance with applicable DSS licensing standards, DHH requirements, and agency policies. Ensure employees complete required orientation and annual training within established deadlines. Maintain accurate and current employee training and competency records. Monitor required certifications, competencies, continuing education, and other employee compliance requirements. Follow up with employees and leadership regarding outstanding training or compliance requirements. Assist with preparing documentation and records for licensing, regulatory, or internal audits. Administrative & Operational Support Assist with day-to-day administrative and office operations. Coordinate staff meetings, training sessions, and internal communications. Maintain organized administrative records and documentation. Provide administrative and operational support to the Supervisor and leadership team as needed. Assist with scheduling and staffing coordination when necessary. Support special projects, organizational initiatives, and other assignments as directed by leadership. Assist with the implementation and organization of internal systems, processes, policies, and SOPs to improve operational efficiency. Perform other administrative and operational duties reasonably related to the position.
SKILLS & REQUIREMENTS
Minimum of 3 years of professional experience in human resources, HR administration, people operations, employee relations, or a closely related field. Experience working in a human-services, healthcare, social-services, childcare, or similarly regulated environment is strongly preferred. High school diploma or equivalent required. Demonstrated knowledge of HR processes, employee documentation, recruitment, onboarding, employee relations, and workplace policies and procedures. Experience maintaining confidential personnel records and sensitive employee information. Strong understanding of the importance of compliance, documentation, and accurate recordkeeping. Ability to assist with implementing and maintaining organizational policies, procedures, and SOPs. Strong written and verbal communication skills. Excellent organizational and time-management skills with the ability to manage multiple priorities. Strong attention to detail and follow-through. Ability to work independently while also collaborating effectively with leadership and staff. Ability to exercise sound judgment, professionalism, discretion, and confidentiality. Must be able to work fully in person in New Orleans, Louisiana. Reliable transportation to and from the workplace is required. Valid driver's license required based on agency needs. Must successfully complete all required background screening. We are looking for someone who can take ownership of HR and administrative responsibilities, keep important documentation organized and compliant, communicate professionally with staff and leadership, and help create structure within the organization.
