Job Description

Join Our Team RCL Mechanical is looking for a highly organized, dependable, and detail-oriented Payroll & HR Specialist to join our growing team. This is a hands-on position responsible for weekly payroll, day-to-day HR support, and general administrative support for our executive leadership team. No two days will look exactly the same, so we're looking for someone who is comfortable wearing multiple hats and helping wherever needed. The ideal candidate is someone who sees what needs to get done, takes ownership, and follows through without needing constant direction. Accuracy, confidentiality, communication, and dependability are critical to this role. What You'll Do Payroll & Timekeeping Coordinate and process weekly payroll accurately and on time Review employee timecards, hours, PTO, commissions, bonuses, reimbursements, and payroll adjustments Work with managers to resolve missing or incorrect time entries before payroll deadlines Process new hires, terminations, wage changes, deductions, and other payroll updates Maintain accurate payroll and compensation records Assist with prevailing wage and certified payroll requirements when applicable Support payroll reporting, reconciliations, and year-end processes Respond to employee payroll questions professionally and confidentially Continuously look for ways to improve payroll processes and accuracy HR & Employee Support Assist with new-hire onboarding and employee paperwork Maintain accurate and organized employee personnel files Assist with benefits enrollment, changes, and employee questions Track PTO, licenses, certifications, reviews, and required employee documentation Support recruiting efforts, including job postings, interview scheduling, and candidate communication Assist with employee offboarding and termination documentation Help communicate company policies, benefits, and employee programs Support employee events, recognition programs, and company initiatives Maintain strict confidentiality regarding employee, payroll, and company information Administrative & Executive Support Provide general administrative support to the President and executive leadership team Assist with scheduling, meeting coordination, correspondence, and follow-up items Prepare reports, spreadsheets, documents, presentations, and internal communications as needed Help organize leadership meetings, training sessions, company events, and employee initiatives Maintain organized company files, records, and administrative documents Assist with vendor paperwork, insurance documents, licenses, certificates, and other company records Track deadlines and follow up with managers and departments on outstanding items Assist with special projects and company initiatives Serve as an administrative resource for both field and office employees Be willing to jump in and help wherever needed as RCL continues to grow What We're Looking For 2+ years of payroll, HR, accounting, or related administrative experience preferred Experience processing payroll for a multi-employee organization strongly preferred Construction, plumbing, HVAC, electrical, or field-service industry experience is a plus Strong attention to detail with the ability to identify discrepancies before they become problems Excellent organization and follow-through Strong written and verbal communication skills Comfortable working with payroll, HRIS, timekeeping, Microsoft Office, and other business software Ability to handle confidential and sensitive information with discretion Comfortable communicating with employees at all levels of the organization Ability to prioritize multiple responsibilities and meet deadlines Self-motivated and able to work independently without constant direction Positive, team-first attitude and willingness to help outside of your immediate responsibilities Who Does Well at RCL We're looking for people who take pride in their work, hold themselves accountable, communicate when something doesn't look right, and are always looking for ways to improve.
