With 40+ years of experience and over 90 professionals across strategy, design, production, and technology, we combine deep industry knowledge with modern tools to help businesses grow. We produce and deliver 100M+ pieces annually from our in-house facility and are transforming the direct mail space through innovation, service, and our proprietary software platforms. Role Summary The HR Generalist is The Mailworks' HR subject matter expert and owns the employee lifecycle from recruitment through separation. This role runs full-cycle recruiting, with a steady focus on building the Production talent pipeline, and serves as the first point of contact for employee relations, employment law compliance, and leave administration. The HR Generalist keeps HR policies and processes current in the Knowledge Base and works alongside the HR Specialist, who handles onboarding execution and HR coordination. Supervisory Responsibilities None. DutiesRecruitment & Talent Pipeline Own the full recruitment process from job posting through offer acceptance for all open positions. Build and maintain an ongoing candidate pipeline for Production roles through job boards, referrals, community events, and job fairs. Maintain job postings on Indeed, LinkedIn, and the company website in coordination with Marketing. Conduct phone screens, manage the Culture Index process, and schedule Focus Interviews with hiring managers. Manage third-party recruiters and hold them to the HR & Administrative Process Manual. Prepare offer packages, manage negotiations with the hiring manager, and hand off accepted offers to the HR Specialist for Employee System Setup. Track sourcing channel performance and adjust recruiting strategy to fill recurring roles ahead of need. Employee Relations Serve as the first point of contact for employee HR concerns; investigate, resolve, and escalate major issues to the COO. Advise and coach managers on performance management, discipline, and documentation. Lead disciplinary meetings and separations with the COO. Monitor Employee Performance Logs across the company to ensure entries are consistent, objective, and meet documentation standards. Compliance & Leave Administration Ensure compliance with federal, New York State, and local employment laws. Administer leaves of absence, including NYS Paid Family Leave, accurately and on time. Support the COO on medical accommodation requests per the Employee Medical Accommodation SOP. Track changes in employment law and recommend policy updates. Ensure required trainings, including NYS Harassment Training, are completed and documented. HR Systems & Documentation Own HR, recruitment, and onboarding SOPs and Company Policies in the Knowledge Base. Maintain job descriptions and the Accountability Chart. Attend the weekly Company Issues meeting and execute assigned Rocks. Required Skills & Abilities Exhibits company core values: FLASH'D (Forward Thinking, Loyal, Accountable, Solutions Focused, Helpful, Dynamic) 3+ years of HR generalist experience; manufacturing or production environment preferred Working knowledge of federal and New York State employment law Full-cycle recruiting experience, including hourly and skilled trade roles SHRM-CP or PHR certification preferred Sound judgment and discretion in handling confidential employee matters Strong written and verbal communication skills Tech-savvy with working knowledge of Google Suite; Asana and Paylocity experience is a plus Physical Requirements While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit; walk; use hands to finger, handle, or feel; and reach with hands and arms. This position requires that the employee be able to manipulate and transport objects up to 50 pounds. Success Indicators Production roles are filled ahead of need, with less reliance on external recruiters. Postings, screens, and interviews are timely, accurate, and well documented. Employee relations issues are resolved promptly, documented, and escalated when needed. The Mailworks stays compliant with federal, state, and local employment law. Leaves of absence are administered accurately and on time. HR SOPs, policies, and job descriptions in the Knowledge Base are current. Managers view HR as a proactive, trusted resource.
