- Friday 7:30AM
- 4:30PM Job Purpose The Onboarding & Orientation Specialist is responsible for planning, coordinating, and delivering a comprehensive orientation and evaluation program for newly hired company drivers, owner-operators, and fleet owners.
Coordinate presentations and meetings involving:
Human Resources Safety Maintenance Compliance Risk Accounting Settlements Operations Recruiting Driver managers Executive leadership Schedule road tests, equipment evaluations, system training, and other required activities. Coordinate owner-operator and fleet-owner meetings, including lease agreement discussions and equipment-related requirements. Confirm presenter availability and communicate schedule changes to all affected parties. Adjust orientation schedules in real time based on operational needs, presenter availability, equipment readiness, or driver progress. Ensure that orientation activities occur in the proper sequence and within established timeframes. Driver Experience and Engagement Create a welcoming, organized, consistent, and professional onboarding experience. Serve as the primary point of contact for drivers throughout orientation. Respond to driver questions, concerns, and needs in a timely and professional manner. Escalate operational, employment, safety, or compliance concerns to the appropriate driver manager, department leader, or Safety Director. Build professional rapport with drivers to encourage engagement, accountability, and long-term retention. Coordinate meals and hospitality arrangements, including lunch orders and, when applicable, dinners involving drivers and members of executive leadership. Ensure that drivers understand available resources, points of contact, and expectations before completing orientation. Recordkeeping and Reporting Maintain accurate, complete, and organized orientation records, including: Attendance Documentation status Training completion Certifications Road-test results System access and task completion Equipment assignments and agreements Track onboarding progress, outstanding requirements, compliance status, and orientation outcomes. Print, distribute, scan, file, and store required records in accordance with company procedures. Ensure that applicable documents, including trailer rental agreements, are signed, scanned, uploaded to Tenstreet, and provided to drivers. Maintain organized electronic records in Tenstreet and other internal systems. Prepare and provide reports related to: Orientation completion Driver readiness Training and compliance status Driver performance trends Orientation outcomes Driver retention Protect confidential employee, driver, and company information in accordance with company policy and applicable requirements. Cross Departmental Collaboration Work closely with Recruiting to support a smooth transition from applicant or candidate to active driver. Coordinate with Human Resources to ensure that employment onboarding requirements are completed accurately and on time. Partner with Safety, Compliance, Risk, and Operations to promote consistent messaging, standards, and expectations. Communicate with Maintenance personnel regarding truck availability, repair status, equipment condition, and driver equipment readiness. Collaborate with the Page Training Center and approved external trainers to coordinate training and assessments. Schedule and confirm presentations, meetings, evaluations, and required activities with internal stakeholders. Communicate unresolved onboarding issues to the appropriate department and follow through until they are addressed. Administrative and Daily Orientation Duties Prepare the classroom and ensure that training materials, equipment, supplies, and technology are ready before each session. Collect, place, manage, and distribute lunch orders for orientation attendees. Coordinate dinner or hospitality arrangements when required. Monitor Paycom, Tenstreet, Motive, and other assigned systems throughout orientation to ensure timely task completion. Follow up with drivers regarding incomplete documentation, training, or system requirements. Print, distribute, scan, upload, and file required documentation. Provide drivers with required physical or electronic copies of forms, agreements, and training materials. Maintain professional communication through email, Microsoft Teams, telephone, and other approved company systems. Provide regular orientation status updates to the Safety Director and other relevant stakeholders. Perform other related duties as assigned.Benefits:
