BASIC PURPOSE
The Human Resources Representative II is a working lead responsible for coordinating the daily activities of the Human Resources Representative team. This position organizes daily work, supports consistent service delivery, provides day-to-day guidance and training, and escalates complex or sensitive matters to HR leadership. The HRR II will fill in for vacancies such as vacations and unplanned absences as well as completing administrative tasks and special assignments as directed while maintaining confidentiality, accuracy, responsiveness, and a positive employee and visitor experience.
MAJOR RESPONSIBILITIES
Daily Team Direction and Workflow Coordination
- Coordinate and prioritize the daily activities of the Human Resources Representative team to support timely and consistent completion of work.
- Serve as the first point of contact for team questions regarding established processes, procedures, systems, and work assignments.
- Coordinate daily coverage for front desk, hotline, inbox, onboarding, document management, and other assigned responsibilities. Front Desk and Visitor Management
- Serve as a point of contact by answering incoming calls and emails and ensuring prompt, professional communication.
- Greet, welcome, and direct visitors; announce visitors appropriately; and manage the issuance and logging of visitor and vendor badges.
- Issue new, replacement, and temporary employee badges and maintain appropriate badge inventory and records. Onboarding Support
- Support new employee onboarding by collecting and processing required documents, including I-9 verification materials, issuing badges, and coordinating workspace setup.
- Guide new employees through applicable HR processes and help provide an organized and welcoming onboarding experience. Corporate HR Hotline and Inbox Management
- Answer and respond to calls received through the Corporate HR Hotline, resolve routine inquiries, and route or escalate matters appropriately.
- Monitor and manage the Corporate HR inbox, ensuring requests are acknowledged, assigned, routed, and followed through in a timely manner. Document Management and HR Administration
- Retrieve, upload, organize, and maintain employee documents for assigned HR processes in accordance with company requirements and confidentiality standards.
- Complete accurate and timely data entry, reporting, audits, and updates to HR systems and employee records.
- Receive and distribute mail, letters, packages, and other correspondence.
- Complete administrative assignments, reports, trackers, and special projects as directed by HR leadership. Cross-Functional Collaboration and Process Improvement
- Cross-train across various HR support activities to strengthen coverage and adaptability.
- Provide administrative and operational support to HR Business Partners and other HR team members, including file management, reporting, research, and ad hoc requests.
- Maintain and update written Standard Operating Procedures for assigned responsibilities and coordinate team adherence to current procedures.
- Assist with HR events, audits, system updates, records initiatives, and other departmental projects.
EDUCATION AND EXPERIENCE
Education High school diploma or equivalent required Associate's degree in Human Resources, Business Administration or similar preferred
Experience:
- Two or more years of experience in human resources administration, customer service, office administration, or a related support role preferred.
- Prior experience coordinating daily work, training others, serving as a lead, or providing workflow guidance preferred.
