Job Description

TAIT's 20 global offices have developed iconic productions and experiences in over 30 countries, all seven continents, and even outer space for renowned performers, theme parks, exhibits, and venues across the globe, including partnerships with Taylor Swift, Cirque Du Soleil, Royal Opera House, Nike, NASA, Bloomberg, Google, Beyoncé, and The Olympics The HRIS Analyst is responsible for the day-to-day administration, support, data integrity, reporting, and continuous improvement of the company's Human Resources Information Systems and related People Technology platforms. The role serves as the primary functional administrator for ADP and the Jobvite Applicant Tracking System, resolving user and system issues, maintaining configurations and workflows, auditing data, and supporting reliable integrations across the employee lifecycle. The HRIS Analyst also leads and coordinates HR technology projects, system enhancements, testing, documentation, training, and reporting to improve operational efficiency and support informed workforce decisions.
Essential Responsibilities & Accountabilities:
HRIS Administration and ADP Support Serve as the primary functional administrator for ADP and related HR systems, including day-to-day configuration, business process support, security roles, user access, organizational structures, employee data, and system tables. Provide timely support to HR, Talent Acquisition, Payroll, managers, and employees; investigate and resolve system errors, access issues, workflow failures, data discrepancies, and reporting questions. Own HR technology support requests from intake through resolution, document root causes and solutions, and coordinate escalations with ADP, Jobvite, IT, and other vendors when needed. Review vendor releases and regulatory updates, assess business impact, configure approved changes, perform testing, and communicate changes to stakeholders and end users. Applicant Tracking System Administration Administer Jobvite and related recruiting tools, including user access, requisition and offer templates, approval workflows, career-site content, job distribution, candidate communications, and system settings. Partner with recruiters, hiring managers, and HR teams to troubleshoot ATS issues, support requisition and candidate processes, maintain accurate hiring data, and deliver a consistent user and candidate experience. Maintain and monitor the transfer of approved new-hire data from Jobvite into ADP and downstream onboarding processes; identify failed transactions, correct data issues, and confirm successful completion. Evaluate recruiting workflows and system usage, recommend improvements, implement enhancements, and maintain recruiting documentation, data standards, and system controls. Data Integrity Auditing and Compliance Develop and execute recurring audits across ADP, Jobvite, and connected People systems to identify missing, inconsistent, duplicate, or inaccurate records and coordinate timely corrections. Maintain data definitions, field ownership, validation rules, operating procedures, and change controls that support accurate and consistent HR data throughout the employee lifecycle. Administer role-based access and participate in periodic access reviews, control testing, and audit requests; support compliance with applicable privacy, retention, and employment requirements. Monitor interfaces and data feeds among HR, payroll, recruiting, Finance, benefits, and other vendors; reconcile exceptions and partner with IT or vendors to resolve failures. Reporting and Workforce Analytics Create, maintain, and distribute recurring and ad hoc reports from ADP, Jobvite, and other HR platforms for HR, Talent Acquisition, Payroll, Finance, and business leaders. Develop dashboards and visualizations, including Power BI solutions where appropriate, for headcount, turnover, hiring activity, time to fill, workforce demographics, data quality, and other key people metrics. Validate source data, analyze trends, explain variances, and translate findings into clear presentations and decision-ready insights for HR partners and leadership. Maintain report inventories, definitions, schedules, access controls, and documentation to promote consistent and secure reporting practices. HR Technology Project Management Plan and manage HR technology implementations, upgrades, integrations, enhancements, and process-improvement initiatives from requirements gathering through deployment and post-launch support. Define scope, requirements, milestones, dependencies, risks, decisions, and success measures; coordinate work across HR, Talent Acquisition, Payroll, Finance, IT, and external vendors. Develop test plans and scripts, coordinate user acceptance testing, document results, manage issue resolution, and support production readiness and stabilization. Prepare stakeholder communications, job aids, standard operating procedures, and training; support adoption and measure whether delivered solutions achieve intended outcomes. Process Improvement and Partnership Map current processes, identify inefficiencies and control gaps, and implement practical solutions that improve service, data quality, compliance, and user experience. Act as the technical liaison among People functions, Payroll, Finance, IT, and vendors, translating business needs into clear system and reporting requirements. Maintain system documentation, configuration records, data dictionaries, process maps, training guides, and SOPs; train administrators and end users on HRIS and ATS processes.
Qualifications Education:
Bachelor's degree in Human Resources, Information Systems, Business, Analytics, or a related field, or equivalent practical experience. Five (5) or more years of HRIS or People Technology experience with hands-on responsibility for system administration, user support, reporting, data quality, and project delivery. Demonstrated experience administering and supporting ADP, including configuration, security, reporting, data audits, and issue resolution. Demonstrated experience administering an ATS; Jobvite experience is strongly preferred, including day-to-day recruiting support and workflow configuration. Strong experience building HR reports and dashboards, validating data, and communicating workforce insights; Power BI experience is preferred. Experience leading HR technology implementations, upgrades, integrations, or process-improvement projects using structured requirements, testing, and change-management practices. Strong understanding of core HR, recruiting, hiring, onboarding, payroll, and employee data processes and how they affect system configuration and downstream reporting. Excellent analytical, organizational, problem-solving, and written and verbal communication skills, with the ability to explain technical issues to non-technical audiences. Ability to manage sensitive employee information with discretion and apply appropriate data security and privacy practices. Preferred Qualifications Experience with Jobvite, ADP, UKG, Epicor, Power BI, and collaboration or workflow tools such as Slack. Experience supporting HR system integrations, file feeds, data mapping, troubleshooting, and vendor coordination. Knowledge of HR data models, report-writing tools, data warehousing concepts, and basic extract, transform, and load processes. Experience supporting HR systems, users, and data requirements in a global organization.
