Essential Duties and Responsibilities Perform the following functions with or without reasonable accommodation, under Senior HR Consultant direction.
- Client and consultant support. Prepare communications, forms, reports, presentations, and other client materials. Participate in assigned meetings, document action items, and maintain task lists, deadlines, client history, CRM records, and follow-up so the team can coordinate work effectively.
- Recruiting. Support job descriptions and postings, applicant tracking, screening against established criteria, interview scheduling, candidate communications, and initial screens as assigned. Prepare interview materials and coordinate references, background checks, offers, and onboarding handoffs.
- Onboarding and offboarding. Coordinate new-hire paperwork, required notices, Form I-9 documentation, orientation materials, and completion tracking. Maintain employee and HRIS records, process routine changes, and prepare separation documents and administrative offboarding steps, including final payroll and benefit coordination.
- Leave benefits and payroll coordination.
Gather leave documentation, prepare approved communications, and track deadlines for FMLA, CFRA, Pregnancy Disability Leave, and other applicable leaves. Support accommodation and workers' compensation documentation, benefit enrollments and changes, and routine payroll and timekeeping coordination. Maintain confidential medical records according to established procedures.
- Handbooks policies and compliance. Gather client information and prepare handbook and policy drafts using approved resources. Coordinate review, version control, distribution, and acknowledgments. Support compliance research, notices, postings, training tracking, and audits; organize findings and track missing information and corrective actions for consultant review.
- SOPs and process improvement. Work with consultants to document recurring processes in Standard Operating Procedures (SOPs), workflows, checklists, templates, and system instructions. Capture client-specific requirements and suggest practical improvements that make work easier to train, transfer, and repeat.
- Employee relations and recurring programs.
Prepare consultant-directed coaching, discipline, and performance materials; assist with investigation scheduling, notes, and document organization. Coordinate approved launches and recurring activities such as performance reviews, open enrollment, required training, and annual notices. Role Scope and Working Expectations This is a supportive role focused on completing assigned work under Senior HR Consultant direction. Senior staff retain responsibility for client strategy, major projects, complex employee relations and investigations, significant discipline and termination decisions, complex leave and accommodation determinations, and higher-risk compliance interpretation. Routine assignments may be completed with increasing independence as skills develop.
- Produce accurate, professional work; keep records and deadlines current; and communicate progress, missing information, and roadblocks promptly.
- Confirm priorities with your consultant when needs shift, follow approved processes, and escalate complaints, sensitive issues, or decisions outside your assigned scope.
- Approach unfamiliar work with curiosity and resourcefulness. Ask questions, seek feedback, apply what you learn, and remain open to changing systems and responsibilities.
- Protect confidential information and use technology, including AI-enabled tools, responsibly within company expectations.
- Assist with additional client and internal HR activities consistent with the role as business needs evolve. Minimum Qualifications
- At least two years of Human Resources experience, with exposure to multiple functions such as recruiting, onboarding, benefits, leave coordination, employee documentation, or separations.
- Working knowledge of California HR practices and a desire to deepen that knowledge in a consulting environment.
- Strong organization, attention to detail, follow-through, and time management across multiple clients and assignments.
- Professional written and verbal communication, sound judgment about when to seek guidance, and discretion with sensitive information.
- Proficiency with Microsoft Office and comfort learning HRIS, payroll, recruiting, CRM, and other business systems. Preferred Qualifications
- HR consulting, outsourced HR, PEO, or other experience supporting multiple clients.
- Experience with California employers, SOP development, handbooks, HR audits, or program launches.
- A degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience.
- PHR, SHRM-CP, or similar certification, or interest in pursuing certification.
Schedule and Work Requirements The position may begin part-time and grow to full-time based on business needs, performance, and mutual fit. Regular availability during agreed business hours is required. Work involves frequent computer use and telephone, email, and video communication; occasional travel to client locations, meetings, or events may be required.
