Located in Monroe, WA, our dynamic team includes administrative staff, production crews, graphic designers, and sales professionals—all dedicated to delivering exceptional products made primarily in the USA using domestic and global materials. Job Overview We are seeking an energetic and detail-oriented Human Resources / Payroll Specialist to join our vibrant team. The HR / Payroll Specialist serves as the central resource for Human Resources and will serve as a backup Payroll Specialist at Morris Magnets, a ~65-employee manufacturing business in Monroe, WA. This role manages the core HR functions including recruiting, on boarding, benefits administration, compliance, and employee relations. The ideal candidate brings hands-on experience in HR administration, thrives in a fast-paced small business environment, and is comfortable working cross-functionally with all internal departments. This person will have some hands-on experience processing payroll (preferably in Washington State) and will be further trained to serve as a backup for payroll processing.
HUMAN RESOURCES DUTIES
Recruiting & Hiring Manage full-cycle recruiting: post positions, screen applicants, coordinate interviews, and extend offers Maintain job descriptions and ensure postings are compliant with applicable employment laws Coordinate pre-employment processes including background checks and reference checks Manage new hire onboarding including I-9 verification, orientation scheduling, and system setup Benefits Administration Administer employee benefits programs including medical, dental, vision, Simple IRA, and workers' compensation Manage open enrollment communications and coordinate with benefit providers Process benefits changes resulting from qualifying life events or terminations Serve as the primary employee point of contact for benefits questions and claims issues Compliance & Employee Relations Maintain employee records with accuracy and confidentiality Ensure compliance with federal, state, and local employment laws including
FMLA, PFML
ADA, I-9, and WA L&I requirements Complete and/or assist with correspondence on unemployment claims and workers' compensation claims Complete and submit applicable government forms including workers' compensation and pension contribution forms Support the development, communication, and enforcement of HR policies and the employee handbook Assist management with employee relations matters, documentation, and performance management processes Maintain daily communication with employees and serve as a trusted first point of contact for HR inquiries
PAYROLL DUTIES
This individual will be cross trained in payroll processing by our Director of Finance to serve as support and backup when needed. This cross-functional training will give this role valuable insight into employee compensation which will support in the day-to-day function of HR Administration. Process full-cycle payroll for all employees using ADP Workforce Now, including hourly, salaried employees, on a timely and accurate basis Execute and maintain accurate records related to monthly incentive and commission calculations for all employees on incentive programs Manage timekeeping records; review and reconcile time clock data prior to each payroll run Use ADP Workforce Now to compute, verify, and process payroll deductions including federal and state income taxes, Social Security, Medicare, garnishments, and benefit withholdings Complete and submit payroll tax filings and government forms including 941s, W-2s, workers' compensation reports, and pension contribution forms Reconcile payroll records against general ledger entries and coordinate with the Director of Finance on payroll-related journal entries and month-end close Maintain open communication with ownership; escalate payroll discrepancies and anomalies promptly Support the outside CPA firm with payroll documentation, audit requests, and year-end reporting
GENERAL & ADMINISTRATIVE SUPPORT
Comply with all federal, state, and company policies, procedures, and regulations Perform general office duties related to payroll and HR functions including filing and correspondence Maintain open communication with ownership; escalate issues promptly as needed Support technology implementations related to payroll and HR systems Perform other duties as assigned at the discretion of the Employer
REQUIREMENTS 3-5
years of combined experience in human resources and/or payroll administration Familiarity with HR compliance requirements in Washington State (L&I, ESD, WFSE, I-9, FMLA, etc.) Working knowledge of payroll processing, tax withholdings, garnishments, and payroll compliance Proficiency with ADP Workforce Now preferred Experience with timekeeping software preferred Manufacturing or industrial environment experience a plus
TECHNOLOGY SKILLS ADP
Workforce Now Open Timeclock or comparable timekeeping software Microsoft Office Suite — Excel, Outlook, Word Adaptable and supportive of new technology implementations
