Provide day-to-day support for the Human Resources Department. Maintain personal and departmental confidence through professionalism and confidentiality. Participate as a team member to support the mission of Plano ISD and the HR Department.QUALIFICATIONS
Education/Certification:
High school diploma or equivalent (required)Special Knowledge/Skills:
Excellent organizational, interpersonal and communication (verbal and written) skills Proficiency in Microsoft Office software (including Word, Excel and Outlook), Internet/web navigation and file maintenance Ability to handle multiple tasks effectively and continuously Basic math skills Emphasis on accuracy and attention to detailExperience:
Minimum of two years of experience in human resources, customer service or other related work functions that support business operations (preferred) Three years of advanced clerical experience (preferred)Major Responsibilities and Duties:
Analyze and compare reports for accuracy, using various data sources Prepare and maintain accurate and complete records on forms, spreadsheets and other databases Provide exemplary customer service support to applicants, employees and other customers regarding system processes Maintain and organize files and documents (paper and electronic) pertinent to employee records, and assist with scanning all documents Maintain confidentiality of employee information and records Develop proficiency in use of human resources management and electronic data management software used by the district Comply and stay informed of all state and district policies and regulations concerning primary job functions Participate in the development of supplemental guidelines for existing procedures, as needed Contribute to the team by assisting other departmental areas, and cross train to provide back-up assistance for other individuals in the Human Resources Department. Those responsibilities may include but are not limited to:- Assist with the placement, tracking and support of associate teachers, student teachers and observers
- Verify and track certifications
- Maintain position control system in an accurate and timely manner
- Reconcile job descriptions with position control to ensure that there is a job description for every job
- Process new hire paperwork including criminal history information, references, and other application materials
- Process separations and manage separated employee files
- Assist with substitute management
- Prepare and distribute or post job vacancy announcements and advertisements
- Prepare correspondence, forms, and reports according to district standards and requirements
- Assist with the preparation and distribution of employment contracts
- Answer and respond to incoming calls, take reliable messages, and route to appropriate staff
- Greet visitors and assist employees and applicants to complete applications and required paperwork Follow all rules, regulations and policies of Plano ISD and follow directives from supervisor Follow attendance policy as assigned by supervisor Perform other functions that may be assigned by the administration and/or supervisor
