This position will serve as an important point of contact between potential participants and the clinical research team, guiding candidates from their initial inquiry through pre-screening, medical record collection, appointment scheduling, and follow-up. Key Responsibilities Contact potential study participants by phone, text, and email regarding currently enrolling clinical research studies. Conduct initial pre-screening using study-specific questionnaires and established eligibility criteria. Maintain consistent and timely follow-up with potential participants throughout the recruitment process. Schedule screening visits and coordinate appointments with the clinical research team. Request, obtain, and follow up on medical records and required documentation , following appropriate authorization and privacy procedures. Provide appointment reminders and confirm upcoming visits. Accurately document patient interactions, contact attempts, appointments, medical record status, and next steps in the CRM. Maintain an organized recruitment pipeline and ensure potential participants receive appropriate and timely follow-up. Communicate professionally with patients, physicians' offices, medical facilities, and internal research staff as needed. Identify potential barriers or delays in the recruitment process and escalate them appropriately. Protect patient confidentiality and comply with HIPAA, privacy, and clinical research procedures . Track recruitment activity and provide updates regarding leads, pre-screenings, scheduled appointments, pending medical records, and participant status. Collaborate closely with coordinators and other members of the clinical research team to support recruitment goals. Required Qualifications Fluent in English and Spanish , both written and spoken. Excellent verbal and written communication skills. Excellent interpersonal, collaborative, and team-building skills. Professional, friendly, empathetic, and patient-centered communication style. Strong phone communication skills and confidence handling a high volume of calls and follow-ups. Proven ability to manage multiple assignments, priorities, and follow-up activities systematically . Strong organizational and time-management skills with exceptional attention to detail. Advanced computer literacy, including Microsoft Office (Word, Excel, Outlook, and related applications). Experience or familiarity with CRM platforms; Zoho CRM experience is preferred . Ability to learn and effectively use clinical research databases, scheduling platforms, and other digital systems. Accurate and consistent data-entry and documentation skills. Ability to follow established procedures, scripts, eligibility criteria, and confidentiality requirements. Self-motivated, dependable, and comfortable working toward recruitment and follow-up goals. Preferred Qualifications Previous experience in clinical research recruitment, patient coordination, healthcare, medical offices, call centers, customer service, or lead management . (Minimun 1 year experience). Basic knowledge of medical terminology or previous experience in a healthcare environment. Experience requesting, obtaining, or managing medical records. Familiarity with HIPAA and handling confidential patient information. Experience managing patient or customer pipelines through a CRM. Experience working with recruitment goals, KPIs, or performance metrics. The Ideal Candidate The ideal candidate enjoys communicating with people and has the ability to build trust quickly while maintaining professionalism and empathy . This person should be comfortable making calls throughout the day, following up consistently, managing multiple candidates at different stages of the recruitment process, and keeping accurate records of every interaction. We are looking for someone who is warm but persistent, highly organized, detail-oriented, technologically comfortable, and results-driven . Every potential participant should have a clear next step—whether that is a follow-up call, medical record request, pre-screening, appointment, reminder, or referral to the clinical team. Previous medical or clinical research knowledge is a plus; however, strong communication, organization, follow-through, computer skills, and the ability to learn clinical research processes are essential.
