A Recruiting Assistant works for a company or organization to help recruit qualified candidates for open positions, or works with a recruiting agency to identify candidates and match jobseekers with job placements. Assists recruiters in identifying and placing potential candidates.
Within the spirit of Making People s Dreams Come True , this position is responsible for facilitating the hiring process for both Properties of The Villages and entities within The Villages Sales & Marketing arenas. In addition, this position is responsible for helping with recruitment efforts, posting open positions, advancing administrative steps, on-boarding new employees, creating and maintain hiring documentation and materials, preparing for interviews, and/or other related administrative and organizational functions. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers. Responsibilities:
Maintain and execute effective hiring procedures and processes for new employees and independent contractors such as posting positions, updating candidate tracking data, scheduling interviews, compiling interview questions and materials, corresponding with candidates about next steps and results when appropriate, etc. Create hiring documents and materials in Microsoft Office Suite by using predefined templates or by creating them from scratch and saving them in an organized structure. Assist with recruitment efforts by attending events and/or coordinating steps for career fairs and other recruitment opportunities when needed. Participate in the interview process steps when asked such as screening and reviewing resumes. Schedule, manage, and maintain hiring calendars with interviews, appointments, and events to include working with individual staff and related room calendars when applicable. Work with The Villages Human Resources to schedule background checks, set up orientation arrangements and assist with necessary forms and paperwork. Prepare new hire office spaces with materials and supplies and assemble helpful welcome materials. Act as a liaison with TSG to activate computer sign-on and other related technology needs. Coordinate and organize related hiring room scheduling, set up, media needs, and equipment or special arrangements. Act as a liaison with the Training Team to ensure new hires are accommodated with a training agenda and share the scheduling expectations. Facilitate and assist with employee and independent contractor de-boarding functions such as completing necessary forms and paperwork, deactivating computer sign-on, etc. Proactively work with the Hiring Team to identify and resolve issues in advance, forward thinking whenever possible. Compile and share hiring stats monthly or as requested. Attend special meetings, educational sessions and assist in ongoing training of new team members when applicable. Contribute to team effort by accomplishing hiring related tasks or attending special occasions as called upon. All other duties as assigned.
Education & Experience Requirements:
Associate s degree (A.A.) or equivalent from a two (2) year college or technical school; or one (1) to three (3) years of related experience and/or training; or equivalent combination of education and experience. Experience in Human Resources or a related field preferred. Strong interpersonal skills, effective time management, flexibility, empathy, sensitivity to confidential matters, and the ability to interact well with all levels of internal management and staff are required. Knowledge of Microsoft Office software including Word, Excel, and Outlook.
