Assists veterinarians with vaccinations or other procedures; screens people who want to adopt an animal from a shelter and provides information about caring for animals.

The Manager of Operations & Development is responsible for the daily operations of the shelter and internal systems, implementation of policies and procedures and acts as a liaison to the Board of Directors. This position collaborates with the Veterinary Services Manager to ensure all staff assignments are completed as directed by management staff. You must have a minimum of 3 years of verifiable managerial or supervisory experience working in the animal-related industry. Must be comfortable handling cats and dogs of all sizes, breeds and temperaments. This is not a sit-at-your-desk position. Must be comfortable working indoors and outdoors as needed. Must be a self-starter, who is able to prioritize projects and assigned tasks.
Duties and Responsibilities:
Oversees the daily cleaning and continuous upkeep of the two dog kennel buildings, the cattery, and the office building. Strictly follows the cleaning protocol set by the Veterinary Services Manager. Assures coverage of the kennels, cattery and office, including covering shifts if needed. Completes kennel and cattery employee schedules. Oversees and arranges for the completion of all building and equipment repairs to include all physical plant systems, computers, office equipment, and medical equipment. Coordinates with the Veterinary Services Manager pertaining to medical equipment. All repairs are done after receiving authorization by the Board of Directors. Submits monthly status reports to the Board of Directors concerning the status of all buildings, grounds, and equipment. Reports any issues immediately as they arise. The monthly status report will be presented to the Board of Directors at a monthly meeting, if this is not possible, the report will be emailed prior to the meeting to the Board of Directors. For issues that need to be addressed immediately, the O&D Manager will call the Board President and report the situation, followed-up by an email to the Board before the close of business that day. Walks the Shelter daily and completes the Daily Shelter Maintenance Checklist. The checklist will be maintained in a binder in the Shelter office. The data from the checklist will be entered into a spreadsheet for tracking purposes. Issues noted will follow the protocol as stated above. Maintains a list of all current vendors, service providers and suppliers, updating information as needed. Conducts interviews for, and manages the hiring of new office, kennel, and cattery employees. Ensures all employment verifications and new hire paperwork are completed. Coordinates with the Veterinary Services Manager to ensure candidates and hires meet staffing requirements. Completes staff payroll every two weeks, coordinates with the Veterinary Services Manager when exceptions arise. Maintains the payroll database. Develops a training curriculum for new hires to the office, kennel, and cattery and updates training materials as needed. Coordinates with the Veterinary Services Manager to ensure all staff have appropriate training. Creates an employee handbook, appropriate policies & procedures, and standard operating procedures with input from the Board of Directors. Coordinates with the Veterinary Services Manager to ensure all policies are followed. Oversees the ordering of shelter supplies and equipment and maintains a written inventory to ensure appropriate quantities are always on hand in coordination with the Veterinary Services Manager. Communicates with the shelter accountant concerning expenses. Research new products, equipment, and pricing, makes recommendations to the Board as needed. Oversees and assists with management of the emergency/disaster plan in collaboration with the Veterinary Services Manager and the Board of Directors. Efforts will include but are not limited to scheduling regular staff training and drills, equipment prep, and maintaining and updating the emergency/disaster plan as needed. Oversees and assists with all aspects of the front office, including but not limited to scheduling appointments, working adoption applications, adoption counseling, answering phones, community pet pantry, receiving and organizing donations, cleaning, laundry ect… Oversees and assists with all aspects of volunteering, updating policies & procedures and the Volunteer database as needed. Oversees single-day service Volunteer groups at the shelter. Coordinates with the Veterinary Services Manager the need for specialized training for Volunteers regarding Advanced Dog Handling and Special Needs Animals. Assures the maintenance and use of shelter operational software in collaboration with the Veterinary Services Director. Assists with the maintenance of the shelter website in collaboration with the Veterinary Services Manager and the Board of Directors. Research new opportunities for fundraising and organizes fundraising development. Coordinates fundraising efforts for Barktoberfest, Pawliday Market, Woofstock, Cat's Pajamas and any developing events as needed in collaboration with the Veterinary Services Manager and the Board of Directors. Efforts will include but not be limited to publicity of events, the logistics of transportation of dogs and equipment, maintenance of an event checklist, coordinate volunteer schedules, and coordinates all aspects of a Silent Auction. Works on the Newsletter as needed. Participates in shelter meetings with staff and shares ideas to improve working conditions. Works with the Veterinary Services Manager to review Adoption applications. Follows all shelter protocols, policies and procedures. Assures the Shelter is tour ready at all times. Meets with the Board of Directors or a representative to review Shelter Operations, long-range projects and policy and procedures. Meetings will be held in person at least quarterly, or more frequently if warranted. Carries out all other duties as assigned by the Board of Directors. This position may require work on Holidays, or weekends, with scheduling in advance. All leave will be approved in advance by the Board of Directors.
