Ocala, FL We are seeking a compassionate and skilled Florida-licensed Aesthetician — Advanced or Regular — to join our team at our soon-to-be-opened Ocala location. At our existing clinic in Gainesville, FL, we provide expert care and treatments in a calm and peaceful environment. Our team is passionate about teaching others how to bring out their best selves through personalized, mindful medical spa treatments. This role begins with approximately four months of training & working at the front desk as a Client Coordinator in our Gainesville location, learning our clients, treatments, systems, and culture from the ground up. Two Phases of This RolePhase 1 (First ~4 Months):
Front Desk & Client Coordination Note:
Occurs in existing Gainesville, FL location. There will be simultaneous training for aesthetician services. You'll start at the front desk, immersed in the day-to-day of the practice. This period is a required and structured part of training for every aesthetician who joins us this way. Front Desk & Concierge. Greet arriving clients by name, manage check-ins and check-outs, offer refreshments, and keep the reception area tidy, serene, and welcoming. Scheduling. Coordinate treatment calendars in our booking software, optimize provider time across the day, confirm upcoming appointments, and manage the waitlist and rebookings. Communication & Inquiries. Field phone calls, emails, and online inquiries about our treatments and services, answering questions accurately and warmly and routing clinical questions to the right provider. Represent the Business. Learn to confidently convey what sets us apart, from our providers' credentials to the treatments and results clients can expect. Lead Handling & Follow-Up. Log and track new inquiries, follow up consistently to convert interest into booked consultations, and reconnect with past clients about rebooking. Sales Support & Retail. Share information on our retail skincare lines, process point-of-sale transactions, and help promote seasonal specials, packages, and memberships. Clinic Flow & Client Journey. Liaise between arriving clients and our clinical team, ensure smooth room turnarounds, and guide clients from check-in through treatment and follow-up. Opening & Closing. Prepare the space each morning and reset it at day's end, keeping reception and retail areas stocked and presentable. Records & Privacy. Manage client intake paperwork, document consent forms, keep client records accurate and current, and uphold strict HIPAA compliance. Phase 2 (After Training): Aesthetician One of our core values is teamwork. Successful team members embody this in their day to day actions and support of the team around them. Provide advanced skincare treatments including HydraFacial, DiamondGlow, dermaplaning, microneedling, and chemical peels. Follow established safety protocols, record treatment parameters, and monitor client response during and after treatments. Perform comprehensive consultations and develop corresponding treatment plans. Deliver skincare services using appropriate settings and in accordance with sanitation protocols. Educate clients on treatment processes, including pre- and post-care guidelines, and obtain informed consent. Maintain accurate, confidential, and up-to-date electronic medical records (EMR). Ensure proper sanitation and safety of treatment rooms and devices in accordance with medical and OSHA standards. Collaborate with physicians, mid-level providers (PA/NP), aestheticians, and support staff to ensure the delivery of high-quality care. Establish and maintain strong client relationships to support satisfaction and loyalty. Deliver exceptional guest service to all clients Maintain a clean, organized workspace and represent the company professionally, aligned with company values and policies. Maintain a positive attitude and contribute to a healthy team culture. Actively participate in and support ongoing training and staff meetings. Support social media team with content when requested. Attend office functions and represent the practice at community events. Required Qualifications Valid Florida Facial Specialist License. Poised, organized, and sincerely warm, with the ability to juggle competing priorities, a full phone line, and a lobby of clients without losing composure. Knowledgeable about medical spa services and skincare procedures. Compelling personal and communication skills, including the ability to build rapport.
Physical requirements:
able to lift up to 30 pounds and maneuver through tight spaces. Knowledge of contraindications, safety protocols, and documentation standards. Preferred Experience Familiarity with InMode or comparable aesthetic platforms. Prior front desk, concierge, retail, hospitality, or client-facing experience.
