The opportunity that this role is built to capture lives in the space between visits, where the client relationship is currently unowned. When no single person is accountable for nurturing that relationship, first time clients drift instead of becoming loyal members, and existing members are not consistently guided toward the next stage of their care. The Client Relations Manager exists to own that relationship and the revenue that grows from it. This is a relationship stewardship role. Its purpose is to protect and expand the value Clarebella has already earned with each client, turning first visits into memberships, memberships into deeper commitment, and satisfied clients into advocates.
Core distinction:
This is a relationship role first. Revenue grows from within the existing client ecosystem through retention, membership, ascension, in house sales events, and referrals, as the natural result of strong relationships. The role does not pursue cold acquisition, which belongs to marketing and to the providers at the point of care. 2. Outcomes This Role Owns This role is accountable for two outcomes. Everything else in this document supports them. If an activity does not advance one of these two outcomes, it does not belong to this role.
Outcome One:
Client Retention and Rebooking Clients return to Clarebella on a consistent, planned cadence and remain active over time. The relationship is strong enough that clients see Clarebella as their ongoing partner in care, not a one time service.
Outcome Two:
Membership Growth and Lifetime Value As the client relationship deepens, more clients choose membership, members stay enrolled, and members move toward the level of care that best serves their goals. Revenue per client grows as a natural result of trust, not as a target pursued for its own sake. The work is to understand each client well enough to guide them to the right next step, which is membership conversion, tier ascension, and participation in Clarebella sales events when those genuinely serve the client. 3. Responsibilities Responsibilities are grouped beneath the outcome they serve, so that the connection between daily work and accountability is always visible.
Supporting Outcome One:
Retention and Rebooking Own the client relationship across the full journey after the first treatment, serving as the consistent, familiar point of contact between visits. Maintain personalized client profiles capturing treatment history, preferences, goals, milestones, and meaningful personal details. Ensure every client leaves with a clear next step and a booked next appointment whenever clinically appropriate. Conduct proactive post treatment follow up to confirm satisfaction, surface concerns early, and reinforce the client's confidence in their results. Serve as the first point of contact for client concerns, resolving them promptly and with genuine care so that issues become moments of deepened trust.
Supporting Outcome Two:
Membership and Lifetime Value Connect each client's goals to the value of ongoing care, presenting membership as the natural path for clients it genuinely serves, and converting eligible first time and returning clients into members. Know each member well enough to guide them toward the tier and treatment plan that best fits their goals, supporting natural ascension over time. Recognize when the next appropriate treatment, package, or product would serve the client, and recommend it from the client's history and stated goals rather than from a quota. Invite the existing client base into Clarebella sales events and seasonal offers in a way that feels like access, not pressure. Steward the membership experience so that members feel recognized, valued, and cared for, which is the foundation of both retention and referral. 4. Success Indicators and Key Performance Indicators Each outcome is measured. These indicators make it clear, to the role holder and to leadership, what success looks like and how it will be evaluated. Outcome Key Performance Indicators Retention and Rebooking Client retention rate. Rebooking rate at time of visit. Active client count over time. Win back rate for lapsed clients. Membership and Lifetime Value New membership enrollments. Membership retention and churn rate. Tier ascension rate. Average revenue per active client. Conversion rate at sales events. 5. Required Capabilities and Behaviors These are derived from the outcomes above. They describe what this person must be able to do and who they must consistently be in order to succeed. Capabilities The ability to grow revenue through relationship, meaning recommending and converting from genuine client care rather than from pressure or quota. Strong organization and follow through, with the discipline to maintain accurate client records and never let a follow up slip. Clear, warm, and professional communication across in person, phone, and digital channels. Comfort with the practice management system to track clients, memberships, bookings, and follow ups reliably. Working understanding of Clarebella's services and memberships, sufficient to guide clients confidently toward the right next step. Behaviors Warm and anticipatory, naturally attentive to client needs before they are spoken. Proactive and ownership minded, treating the client relationship as theirs to protect and grow. Consistent and dependable, because retention is built on reliability over time. Composed and empathetic under pressure, especially when recovering a concern into renewed trust. Genuinely invested in client outcomes, because authentic care is what makes relationship based revenue sustainable. 6. Where This Role Lives in the Client Experience This role owns the client relationship from the moment someone has experienced Clarebella, forward through their entire journey as a loyal client. It is the deliberate counterpart to the marketing function, which attracts new clients. Once a client has had their first experience, this role takes ownership of the relationship from there. Welcomes each client into an ongoing relationship after their first visit, builds the personal connection, and secures the next step. Deepens that relationship over time, guiding clients into membership and toward the care that best serves their goals. Sustains loyalty, earns referrals, and re engages clients who have drifted away. 7. What This Role Requires This is not an entry level position. We are looking for someone who can point to real, proven success in a client relationship or client facing growth role, ideally within a premium service, hospitality, aesthetics, or healthcare environment. Demonstrated track record of building strong client relationships and driving retention or membership growth. Experience in a client facing role within a luxury, hospitality, medical, or aesthetics setting strongly preferred. Proven comfort guiding clients toward the right next step in a way that feels like care, not pressure. Strong organization, follow through, and comfort with practice management or CRM software. No professional license is required for this role. Individual Performance Based Bonus Opportunities
