Exempt (Salaried) About the Role We are seeking an experienced and detail-oriented Office Practice Manager to oversee the daily operations of our medical spa. This individual will serve as the operational backbone of the practice — managing staff, ensuring regulatory compliance, optimizing patient experience, and driving the business performance of the spa. The ideal candidate combines strong leadership skills with a passion for aesthetics, wellness, and client care. Key ResponsibilitiesOperations Management Oversee day-to-day operations of the medical spa, ensuring smooth front-desk, scheduling, and treatment room workflows Develop and enforce standard operating procedures (SOPs) for clinical and administrative staff Manage inventory of medical supplies, injectables, skincare products, and retail merchandise Coordinate equipment maintenance and vendor relationships Ensure compliance with OSHA, HIPAA, state medical board regulations, and local health codes Staff Leadership Recruit, hire, train, and supervise front-desk staff, estheticians, and support personnel Create and manage staff schedules to ensure adequate coverage Conduct performance reviews and provide ongoing coaching and development Foster a positive, professional, and client-focused team culture Coordinate with medical providers (RNs, NPs, PAs, physicians) on scheduling and workflow needs Financial Management Manage budgets, monitor expenses, and identify cost-saving opportunities Oversee billing, payment processing, and accounts receivable/payable Track key performance indicators (KPIs) such as revenue per visit, retention rates, and treatment utilization Prepare financial and operational reports for ownership/leadership Assist with pricing strategy for services and packages Client Experience Ensure an exceptional, welcoming client experience from booking through checkout Handle escalated client concerns, complaints, and service recovery Monitor online reviews and reputation management Support marketing and client retention initiatives (loyalty programs, promotions, email campaigns) Compliance & Risk Management Maintain up-to-date knowledge of state regulations governing medical spa services (e.g., delegation of services, supervision requirements) Ensure proper documentation, informed consent processes, and medical record-keeping Maintain licensure and certification records for all clinical staff Manage relationships with legal counsel, insurance providers, and regulatory bodies as needed
Qualifications Required:
3+ years of experience in office/practice management, preferably in a medical spa, aesthetic practice, dermatology, or healthcare setting Strong understanding of HIPAA and healthcare compliance requirements Proven leadership and team management experience Excellent organizational, communication, and problem-solving skills Proficiency with EMR/practice management software and point-of-sale systems Strong financial acumen (budgeting, P&L, KPI tracking)
Preferred:
