The right person will be comfortable working alongside the team, communicating directly with ownership, addressing problems when they arise, and proactively identifying issues before they affect our clients or staff. Position Summary The Spa Operations Manager is responsible for overseeing the day-to-day operations of Blue Mountain Mist Spa, including staff leadership, scheduling, reservations, client experience, facility standards, inventory, training, communication, and overall operational consistency. This is a hands-on management position . The Spa Operations Manager should be visible, engaged, approachable, and willing to step in wherever needed to support successful spa operations. Essential Duties & ResponsibilitiesDaily Spa Operations Oversee the daily operation and flow of the spa. Review the day's appointments, staffing, room assignments, special requests, and client notes. Look ahead at upcoming schedules to identify potential staffing shortages, appointment conflicts, coverage needs, or other concerns. Ensure appointments are scheduled accurately and efficiently. Assist with taking reservations, answering phones, checking clients in and out, and supporting the front desk when needed. Coordinate schedule changes, call-outs, coverage, and other operational needs. Ensure services are appropriately and fairly distributed among qualified providers whenever possible. Communicate important operational information to staff and ownership. Follow through on issues rather than allowing unfinished items to carry forward. Team Leadership & Accountability Provide daily leadership and direction to massage therapists, estheticians, nail technicians, and front desk staff. Clearly communicate expectations and company procedures. Coach and train employees when additional guidance is needed. Address performance concerns promptly, professionally, and consistently. Hold team members accountable while maintaining a respectful and supportive workplace. Assist with onboarding and training new employees. Help identify areas where additional training, procedures, or SOPs are needed. Lead by example in professionalism, teamwork, communication, cleanliness, integrity, kindness, and client care. Help maintain a workplace culture consistent with the values and standards of Blue Mountain Mist. Scheduling & Staffing Review current and future schedules regularly rather than waiting for scheduling problems to occur. Identify staffing gaps and work proactively to secure appropriate coverage. Monitor provider schedules and service distribution. Coordinate schedule adjustments due to vacations, call-outs, staffing changes, or business needs. Ensure staff schedules appropriately support anticipated client volume. Communicate scheduling concerns to ownership when necessary. Client Experience Help ensure every client receives a welcoming, professional, and consistent experience from reservation through checkout. Monitor the spa environment throughout the day. Review reservations for birthdays, anniversaries, celebrations, special accommodations, and other important notes. Ensure special touches and requested preparations are completed before the client's arrival. Address client concerns calmly and professionally. Take appropriate action to resolve service or experience issues. Follow up when necessary to ensure concerns have been properly resolved. Reservations & Front Desk Assist with phone, online, and in-person reservations. Ensure client information and appointments are entered accurately. Verify services, appointment times, provider availability, client names, contact information, required payment information, and reservation notes. Help ensure applicable deposits, discounts, packages, gift certificates, and other reservation details are handled correctly. Monitor spa email and other business communications throughout the workday. Ensure client inquiries and messages receive timely responses. Facility Standards & Cleanliness The Spa Operations Manager is responsible for helping ensure the entire spa remains clean, organized, stocked, and client-ready throughout the day , not simply at opening or closing.

Reception and retail areas Treatment rooms Nail areas Relaxation areas Restrooms Laundry areas Hallways and common areas Front entrance and exterior client-facing areas Overall presentation, lighting, music, scent, cleanliness, and atmosphere The manager should notice and address concerns without waiting for ownership or another employee to point them out. Inventory & Supplies Monitor professional products, retail products, cleaning supplies, laundry supplies, disposables, and other spa inventory. Maintain appropriate stock levels. Identify low inventory before products or supplies run out. Coordinate ordering and communicate purchasing needs appropriately. Ensure treatment areas are properly stocked for scheduled services. Maintain organized product and supply storage areas. Training, Standards & Procedures Help ensure staff understand and consistently follow Blue Mountain Mist Spa policies, service standards, protocols, sanitation requirements, and SOPs. Assist with ongoing staff training and retraining. Identify inconsistencies and address them before they become established habits. Help maintain consistency between providers so clients receive the level of service expected from Blue Mountain Mist Spa. Participate in management and staff meetings as required. Excellent written and verbal communication skills. Strong client-service and problem-solving abilities. Comfortable managing multiple priorities in a fast-paced environment. Ability to coach, train, and hold employees accountable. Comfortable learning and using scheduling, reservation, communication, and point-of-sale systems. Dependable, professional, and able to maintain appropriate confidentiality. Ability to work a schedule that supports the operational needs of the spa, including some weekends and peak business periods.
