Practice Manager / Office Manager About the Role We are seeking a friendly, organized, and compassionate Veterinary Receptionist to be the first point of contact for our clients and their pets. This role is essential to creating a welcoming environment and ensuring the smooth day-to-day operation of the front office. Key Responsibilities Greet clients and patients warmly, both in person and over the phone Schedule, confirm, and manage appointments using practice management software Answer phone calls, respond to emails, and address client inquiries Check clients in and out, process payments, and manage billing/invoicing Maintain accurate and up-to-date patient records Coordinate prescription refills and communicate with clients about medications Manage waiting room flow and help keep both clients and pets calm and comfortable Handle referrals, lab results, and communication with other veterinary offices Maintain cleanliness and organization of the front desk and waiting area Assist with administrative tasks such as filing, faxing, and inventory of office supplies Support the veterinary team with light clerical and operational tasks as needed Be flexible with assisting with veterinary assistant duties Qualifications High school diploma or equivalent required; some college coursework a plus Prior experience in a veterinary, medical, or customer service role preferred Strong communication and interpersonal skills Ability to multitask in a fast-paced environment Comfortable handling animals of various sizes and temperaments Proficiency with computers, scheduling software, and basic office equipment Empathy and patience, especially when working with anxious pets or emotional clients Ability to remain calm and professional during emergencies Physical Requirements Ability to stand or sit for extended periods Ability to lift up to 50 lbs (e.g., pet carriers, supplies) Comfortable being around animals, including those that may be frightened, in pain, or aggressive Schedule Part-time, flexible and subject to clinic need May require occasional evening or weekend shifts Compensation Pay based on experience
