Job Description

An Astoria-based General Contracting and Real Estate Development Firm is currently seeking a full-time Insurance Coordinator. The candidate must work effectively in teams and exhibit professionalism in interactions with colleagues, patrons, and others regardless of background or position. This role reports to the Risk Manager and the Risk Manager Assistant and provides administrative support for the Legal & Admin, Compliance and Buyouts Departments. The ideal candidate will be responsible for the administration and monitoring of our prequalification process, conducting data entry in our proprietary application, managing insurances for projects, and enforcing policies and procedures in accordance with company policies. Insurance Coordinator will be responsible for any tasks associated with obtaining, distributing, and maintaining subcontractors' policies and certificates of insurance for all projects. The responsibilities include, but are not limited to: Communicating with subcontractors, brokers and third parties to obtain compliant policies, COI's, and any related documents. Reviewing subcontractor insurance to ensure compliance with contractual requirements, including collaborating with our broker and 3rd party administrator. Creating and maintaining electronic job folders, including properly labeling and filing documents electronically as well as in our company database. Updating and maintaining the tracking of COI & Insurance Policies in our company database. Collaborating with the Compliance Department during the Pre-qualification process. Assisting with the Contract process. Supporting the Risk Management Team by reviewing insurance policies, binders, and endorsements. Escalating compliance issues as they arise. Understanding basic principles and function of Wrap-Up insurance programs to support the Risk Management team. Assisting with annual insurance renewals. Processing and tracking all subcontractor enrollments, including making determinations regarding subcontractor exclusions from the program. Coordinating startup of Contractor Control Insurance Policy (CCIP) and monthly review meetings with Project Teams. Following up with subcontractors and agents regarding new, expired, and non-compliant insurance. Maintaining and tracking subcontractor insurance policy information. Providing regular communication on the status of individual projects to Project Teams.
Required skills:
Excellent written and communication skills Proficiency with programs from Microsoft office such as but not limited (Word, Excel, PowerPoint) Aptitude in learning insurance concepts and terminology Willingness to learn about commercial construction and the role of insurance within it Able to learn and manage coverage, endorsements, and internal risk management processes Self-motivated and able to work efficiently independently and within teams Excellent organizational, strategic, and prioritization skills within a fast-paced work environment. Strong problem-solving, analytical, and technical skills Maintain high standards of quality with attention to detail
