Job Title:
Inventory Administrator Job Description The Inventory Administrator ensures the accuracy, completeness, and timeliness of inventory information within the company's ERP and inventory systems. This role supports smooth material flow by maintaining detailed inventory records, updating material transfer and shipment logs, and coordinating inventory movements between internal facilities and external suppliers. The Inventory Administrator also schedules and dispatches company drivers for inter-facility transfers and supplier shipments, ensuring all material movements are fully documented and aligned with operational needs. By developing a deep understanding of products, assemblies, components, and raw materials, this position plays a key role in maintaining data integrity and providing reliable inventory information to support Production, Procurement, Logistics, and other operational teams. Responsibilities Accurately enter and maintain all inventory transactions in the ERP system, including receipts, transfers, shipments, and raw material consumption. Maintain and update material transfer logs and all supporting documentation to ensure complete and traceable records. Ensure inventory records reflect real-time physical material movements across all facilities. Review inventory transactions for accuracy and completeness, promptly identify discrepancies, and correct errors in the system. Support inventory audits, cycle counts, and reconciliation activities by providing accurate system data and documentation. Coordinate material transfers between internal facilities, ensuring proper documentation and timely updates in the ERP system. Schedule and dispatch company drivers to perform inter-facility transfers and supplier shipments, ensuring all movements follow established procedures. Coordinate inbound and outbound shipments with external suppliers, logistics partners, and internal teams to support production and operational needs. Track shipment status, confirm completion of deliveries and transfers, and ensure all material movements are properly recorded in the ERP. Communicate shipment schedules, delays, or issues to impacted stakeholders and keep relevant teams informed. Develop and maintain detailed knowledge of the organization's products, assemblies, components, and raw materials. Understand how materials flow through the organization from receiving through transfer, storage, and consumption. Serve as a knowledgeable resource for inventory-related questions from Operations, Production, Procurement, and Project Managers. Follow established inventory control procedures to ensure data integrity, traceability, and compliance with internal standards. Identify process gaps, recurring errors, or inefficiencies related to inventory tracking or material movement and bring them to the attention of leadership. Escalate inventory or logistics issues as needed and assist in implementing corrective actions. Support continuous improvement efforts related to inventory systems, documentation, and workflows, contributing ideas and feedback for process enhancements. Essential Skills 2+ years of experience in an inventory administration, inventory control, logistics coordination, or operational support role. Demonstrated experience entering and maintaining inventory data in an ERP or inventory management system. Strong attention to detail with a proven ability to maintain accurate records and documentation. Experience coordinating material movements, shipments, or transfers in a production or logistics environment. Ability to organize, prioritize, and manage multiple tasks in a deadline-driven environment. Strong written and verbal communication skills for coordinating with internal teams and external partners. Hands-on experience using ERP or inventory management systems for daily operations. Proficiency with MS Office tools, particularly Microsoft Excel, for data entry, tracking, and reporting. Comfort working with inventory, data entry, production-related information, and cycle counting activities. Additional Skills & Qualifications Experience supporting or participating in inventory audits, cycle counts, and reconciliation activities. Familiarity with order processing and related documentation within an ERP or inventory system. Exposure to production environments and understanding of how materials support manufacturing workflows. Interest in continuous improvement and willingness to help refine inventory processes, documentation, and workflows. Ability to collaborate effectively with Operations, Production, Procurement, Logistics, and Project Management teams. Why Work Here? You will work closely with drivers, warehouse or facility staff, and office-based teams to coordinate material movements, shipments, and transfers between internal facilities and external suppliers. The position involves regular interaction with multiple departments, including Operations, Production, Procurement, Logistics, and Project Management, requiring clear communication and timely updates. Work is typically structured around standard business hours, with a focus on meeting operational deadlines and supporting smooth material flow across all facilities. Job Type & Location This is a Contract position based out of Sedro Woolley, WA. Pay and Benefits The pay range for this position is $22.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
