Inventory Specialist in La Conner, WA GLDN is a direct-to-consumer jewelry brand that blends craft and technology to bring delight and connection through meaningful, personalized pieces. We design, manufacture, and ship from our headquarters in La Conner, Washington. We are growing — and our inventory team needs to grow with us! Our Inventory Specialists support our internal teams and keep our customers satisfied by ensuring physical materials and system data always match. This role is an important part of allowing production to flow reliably and orders to ship on time to our amazing customers. Job Description The Inventory Specialist is responsible for maintaining the accuracy, integrity, and readiness of GLDN's inventory. This role ensures that all incoming materials are properly received, verified, labeled, and recorded, and that ongoing inventory records in Odoo and Shopify match physical stock at all times. A key part of this role is executing disciplined cycle counts, staging materials for production, and catching discrepancies early before they affect fulfillment. This position works closely with Production, Purchasing, and Customer Service to keep material flow smooth and uninterrupted. GLDN values continuous improvement at all levels. This position is expected to follow established SOPs, identify inefficiencies, and contribute feedback to improve inventory processes over time. Job Responsibilities Verify incoming shipments against purchase orders (quantity, item, condition) and perform quality checks before materials enter active inventory Accurately enter, label, and assign locations to materials in Odoo and Shopify at intake Execute scheduled cycle counts and support full physical inventory audits; report variances clearly Maintain alignment between physical inventory and system records; investigate and resolve discrepancies promptly Stage, bag, tag, and organize materials to ensure they are immediately usable by production Process customer returns and reintegrate items into inventory accurately Partner with Production to resolve material shortages, quality issues, and station replenishment needs Communicate inventory discrepancies, shortages, or delays to relevant teams in a timely manner Support Purchasing and Sourcing with accurate inventory data as needed Support Customer Service with inventory availability information and RRL processing Follow all inventory SOPs; identify process inefficiencies and escalate or suggest improvements Other duties as assigned Knowledge, Skills, and Abilities Intermediate computer skills in Excel, Google Suite, and general computing Experience with ERP and e-commerce systems preferred (Odoo, Shopify) Strong math skills and keen attention to detail Ability to manage multiple tasks with accuracy under time pressure Strong verbal and written communication skills Confidence to identify and flag inventory risks or suggest improvements proactively High EQ with the ability to work collaboratively with diverse, cross-functional teams Required experience Entry to intermediate level professional Strong computer skills required Strong math and attention-to-detail skills required Experience with physical inventory counts and record keeping preferred Forklift certification or willingness to obtain such certification ERP experience preferred (Odoo) Ability to see fine detail on small objects required (with or without corrective lenses) Work Conditions Work takes place indoors in a climate-controlled warehouse environment Requires prolonged periods of standing and walking while managing inventory Requires periodic computer use for system entry and reporting Requires periodic lifting, pushing, and pulling (up to 25 lbs unassisted)
