Full-Time or Part-Time (Flexible based on candidate) We are seeking a highly detail-oriented Invoice Specialist to work in-office managing complex, client-specific invoicing in a fast-paced environment. This role is responsible for gathering all cost inputs, validating shipping charges, and ensuring accurate invoice submission across multiple client procurement systems. The ideal candidate is an expert in SAP Business One, with a strong analytical mindset and data management capabilities to support reporting, billing accuracy, and client-specific requirements. Experience with accounts payable and collections strongly preferred. Data management / data analysis skillset a strong plus The ability to manage multiple tasks efficiently without compromising quality.
Key Responsibilities:
Create and manage custom invoices in SAP Business One, ensuring all cost components are accurately captured (product, freight, duties, services, etc.). Perform 3-way matching (PO, goods receipt, invoice) where applicable. Capture and validate shipping charges, including detailed UPS and FedEx billing (zones, fuel surcharges, residential fees, accessorials, adjustments). Review carrier invoices to identify billing discrepancies, overcharges, and errors. Upload and manage invoices through client systems such as Ariba and PeopleSoft. Investigate and resolve invoice rejections, missing data issues, and pricing discrepancies. Work closely with operations, logistics, and sales teams to gather accurate billing inputs. Build and maintain reports and dashboards related to invoicing, freight costs, and client billingSupport client-specific reporting and data requirements. Assist with accounts receivable, including billing and collections follow-up. Support accounts payable, including vendor invoice review and reconciliation. Maintain clean, structured, and accurate data across invoicing and reporting systems Qualifications 3-6+ years of experience in invoicing, billing, or accounting support. Expert-level proficiency in SAP Business One required. Strong understanding of UPS and FedEx billing structures and shipping charges. Experience with Ariba, PeopleSoft, or similar procurement platforms preferred. Advanced Excel skills (pivot tables, XLOOKUP/VLOOKUP, data analysis)Strong attention to detail with ability to manage complex, multi-line invoices. Excellent problem-solving and communication skills.
