Job Description

Summary Laboratory work assisting in the day-to-day operations of all laboratory staff by providing support services; all other related work, as required. Supervision Works under the direction of Laboratory Director and communicates with lab staff every day. Functions independently, referring problems to supervisor only when clarification or interpretation of policy or procedure is required. Performs responsible duties requiring independent judgment and a wide knowledge of lab procedures and operations; refers matters to the Lab Director in unusual situations; may receive oral instructions when specific assignments are given. Essential Functions The essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. Serves as initial point of contact for the Barnstable County Laboratory. Represents the County in a professional and courteous manner. Provides administrative and laboratory support to Lab Director and all laboratory staff. Handles accounts payable for the Laboratory. Uses Munis software to process Laboratory purchase requisitions and processes lab invoices. Places orders for laboratory supplies and equipment with vendors. Follows up on existing orders and coordinates with vendors. Maintains office supply inventory. Takes responsibility for relaying cash receipts to Finance Department. Assists and answers questions, both in person and over the telephone, from the general public, public officials, department managers and department staff. Resolves issues, complaints and requests from the public using effective communication skills.
Occasionally might be asked to:
receive and log in samples; mail, email, and/or fax reports to customers; pick up sample from collection point or drop them off at subcontract laboratory; prepare sample containers. Performs similar or related work as required, directed or the situation dictates. Recommended Minimum Qualifications Education and Experience High school diploma including or supplemented by courses in office procedures, business training and secretarial skills; bookkeeping training preferred; three years of administrative or lab experience is required or an equivalent combination of education and experience.
Certifications:
Valid Massachusetts motor vehicle operator's license of County accounting system (MUNIS). Through knowledge of office practices and procedures. Working knowledge of bookkeeping. Ability to interact well with professionals and the general public. Ability to communicate effectively both orally and in writing. Ability to use a computer . Ability to act independently, manage priorities and perform follow-up activities with limited supervision. Proficient computer skills, including word processing, typing and data management. Skill and ability in operating standard office equipment. Good organizational skills. Job Environment Work is generally performed in an office or laboratory setting with risk of loud noise from equipment; may have some risk of exposure to laboratory hazards daily (e.g. carcinogens, explosives, flammables, caustics and corrosives); the laboratory is fully OSHA compliant; work is generally stable, but there are often fluctuations based on specific projects or seasonal demand. Operates computer and standard office machines. Makes constant contact with the public in person and by telephone; contacts include County Department staff, other government agencies and citizens. Errors could result in delay or loss of program services, or adversely affect public and environmental health. Physical Requirements The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. Minimal physical effort generally required in performing duties under typical laboratory and office conditions. The employee is frequently required to stand, talk, listen, and use hands. Often required to lift up to 30 pounds, such as cooler full of samples.
