Full Job Description Landscaping & Maintenance Coordinator Job Summary:
The Landscaping & Maintenance Coordinator plays a vital role in ensuring efficient operations within the landscaping and maintenance departments. This position requires exceptional organizational and communication skills to manage schedules, coordinate staff assignments, and facilitate seamless communication between technicians, management, and clients. Flexibility and adaptability are crucial to managing a dynamic workflow.
Key Responsibilities:
Phone Call Management:
Answer incoming phone calls promptly and direct them to the appropriate person or department in a professional and friendly manner.
Scheduling and Coordination:
Schedule work orders and weekly maintenance schedules, ensuring the appropriate staff are assigned to complete tasks. Communicate with technicians regarding scheduling changes, additions, and detailed instructions for daily appointments.
Service Requests:
Create and manage service requests, track the progress of work orders, and ensure timely completion of tasks. Communicate with the manager to update them on next steps for ongoing jobs.
Emergency Response:
Act as the primary contact for emergency situations, conveying details of the issue clearly and concisely to all relevant parties.
Invoicing Assistance:
Assist with invoicing for maintenance and landscaping projects, ensuring accuracy and timely submission.
Efficiency Tracking:
Monitor and maintain efficiency in completing work across various areas, identifying opportunities for improvement.
Qualifications:
Proven experience in scheduling, coordination, or administrative roles, preferably in landscaping or maintenance industries. Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Proficiency in relevant software tools for scheduling and tracking work orders. Ability to handle high-pressure situations, including emergencies, with professionalism. Knowledge of landscaping and maintenance operations is a plus.
Key Competencies:
Customer service orientation. Attention to detail and accuracy. Problem-solving and decision-making skills. Ability to work collaboratively with team members and external stakeholders.
Work Environment:
This role primarily operates in an office setting, Monday-Friday.
